We're looking for a hands-on, highly organized Temporary Office Manager to keep our Fenway office running beautifully and to play a central role in executing a series of high-visibility events and conferences in the months ahead. As part of the People team and reporting into the Chief People Officer, this is a contract role for someone who thrives on logistics, loves making spaces feel welcoming, and gets energized by turning a long to-do list into a smooth, polished employee and visitor experience.
What You’ll Do
• Own the day-to-day of the Fenway office. Maintain the cleanliness, layout, and overall feel of kitchen, conference rooms, and shared spaces; restock supplies, snacks, and refreshments; manage mail and package flow; and ensure the office is a place people actually want to come to.
• Plan and execute company events end-to-end, including PathAI's annual all-company event and other team offsites, dinners, and celebrations. Source venues, coordinate catering, manage run-of-show, and partner cross-functionally to land a high-quality experience for ~170 employees.
• Lead conference and meeting logistics. Book rooms, coordinate AV setup, manage catering for interviews and internal meetings, and serve as the on-site point of contact so meeting hosts can focus on content rather than coordination.
• Support employee experience initiatives in partnership with the People team. Help operationalize in-office programming, new hire moments, weekly all-team lunches, and the small touches that make Fenway feel like home.
• Manage vendors and build relationships. Interface with property management on work orders and space-related questions, coordinate with caterers and service providers, and act as the go-to escalation point for anything office-related.
• Provide light administrative and event-day support to interview teams, visiting executives, and meeting organizers, jumping in wherever a friendly, capable problem-solver is needed.
What You’ll Need
• 3+ years of office management, event coordination, or workplace experience, ideally in a startup or fast-growing company; comfortable juggling multiple workstreams in a fast-paced environment.
• Exceptional organizational skills, attention to detail, and follow-through — you keep multiple plates spinning without dropping any, and you anticipate needs before they become asks.
• Strong interpersonal, verbal, and written communication skills; you're approachable, professional, and genuinely enjoy being a resource for employees, candidates, and visitors.
