The Role

We are looking for an Office Manager & Executive Assistant to join our Madrid office, supporting a diverse team of 15 people. In this dual role, you will provide dedicated administrative support to both our Country Director and Location Design Director, while ensuring the day-to-day operations of the Madrid office run seamlessly.

What you’ll do
Office Management
• You are the first impression of Fastned, welcoming visitors and new joiners with the warmth and energy that defines who we are.
• Independently organize and prioritize office tasks, ensuring day-to-day processes run smoothly and continuously identifying opportunities for improvement.
• You take ownership of challenges that arise in the office environment, moving beyond immediate fixes to identify and implement long-term solutions.
• Manage and coordinate agreements with third parties such as maintenance, safety, and other facility services.
• Oversee the purchase and follow-up of office supplies, invoice tracking, and run the weekly office routine.
• Organise team trainings, outings, and events that people actually look forward to, handling everything from negotiating with suppliers to making sure the details are sorted.
Executive Assistant
• Support the director's in tasks like draft emails and prepare communications that are clear, sharp, and always on point.
• Handle expenses and keep the admin side of things tidy, so nothing slips.
• Handle the logistics of onsite meetings, from preparing presentations to making sure every guest feels welcome and has everything they need.
• Manage the director's calendar with a clear head — book appointments, set priorities, and make sure the right things get the right attention.
• Keep the director in the loop on what's urgent, what's coming, and what needs a follow-up, before they have to ask.
