Office Manager & Executive Assistant
Nefesh B’Nefesh – Jerusalem (Full-Time, 9:00–17:00)
Nefesh B’Nefesh is seeking an experienced, fully bilingual Office Manager & Executive Assistant to join our Jerusalem office.
This role is essential to ensuring the smooth and efficient day-to-day operation of the office and front desk, while providing high-level administrative support to management. The ideal candidate is proactive, detail-oriented, able to meet deadlines, and communicates effectively in both English and Hebrew.
Key Responsibilities
Oversee all aspects of office management, including supplies, vendors, and event logistics
Manage departmental budgets, oversee payments, and invoice processing
Supervise front desk operations and ensure a high standard of customer service
Welcome visitors and Olim, and direct them to the appropriate departments
Manage and prioritize incoming and outgoing communications (phone calls, emails, mail, and deliveries)
Serve as a liaison between staff and external vendors, including maintenance, delivery services, and transportation providers
Schedule meetings, and take care of administrative tasks for senior management
Arrange complex travel plans for senior staff
Requirements
Native-level English and fluent Hebrew (spoken and written)
Minimum of 3 years’ administrative experience, including complex scheduling
Strong interpersonal skills with the ability to build and maintain professional relationships
Proficiency in Microsoft Office and CRM systems
Solid understanding of office management and basic accounting procedures
Excellent organizational, time management, and problem-solving skills
Strong communication and negotiation abilities in both English and Hebrew
Ability to work independently, manage multiple priorities under pressure, and maintain discretion
