How you'll make an impact:
• Ensure the smooth day-to-day operation of the Luxembourg head office, including office supplies, postal services, meeting rooms, and general administration.
• Provide administrative support to the Managing Director and the Head of Compliance, including document preparation, appointment coordination, and follow-up of action points.
• Coordinate internal and external meetings, conferences, and visits, including scheduling, logistics, and preparation of materials.
• Provide administrative support to the Compliance function, including maintaining documentation, preparing reports, coordinating information requests, and liaising with branches and group entities.
• Perform Corporate Secretary duties, including coordination with the Board and committees, preparation of meeting documentation, minute-taking, follow-up of decisions, and maintenance of corporate records in line with Luxembourg governance requirements.
• Oversee the filing and archiving of corporate and Compliance documents, manage service providers and procurement, and liaise with building management and external partners.
What it takes to succeed in this role:
• Bachelor’s degree in administration, business, or a related field, or equivalent professional experience in office management or administrative support.
• Minimum 2–3 years of experience in a similar role in Luxembourg, ideally within a regulated environment such as insurance, finance, or professional services.
• Basic knowledge of company secretarial, governance, or Compliance processes is considered an advantage.
• Strong organisational skills with the ability to work independently in a small local team while coordinating with international colleagues and stakeholders.
• Excellent communication and interpersonal skills with a proactive, reliable, and service-oriented mindset.
• Fluent in English and French, with German considered an advantage. Good knowledge of MS Office and common administrative tools is required.
