We are now looking for a Part-time Office Coordinator to join our RELEX office in Venice.

Your Role as Office Coordinator:

You will be at the heart of our vibrant and growing Venice office of 50+ RELEXians. As our Office Coordinator, you’ll take full ownership of the day-to-day running of the office environment and local event organisation. You’ll ensure everything runs smoothly while creating an atmosphere that enables productivity and collaboration.

This is a hands-on and autonomous role that requires excellent organisational skills, attention to detail, and the ability to prioritize and execute tasks efficiently.

Key Responsibilities:

Office Management

• Ensure smooth daily operations of the office, including maintenance, upkeep, and handling any ad hoc challenges with service providers.

• Oversee organization of common areas, meeting rooms, lounge, and storage spaces to maintain a welcoming and functional office environment.

• Manage incoming and outgoing mail and handle general correspondence.

• Control office-related expenses and oversee local employee invoices following pre-approval by team leads.

Onboarding & Offboarding Coordination

• Coordinate with Business IT to manage office IT assets and ensure timely setup and decommissioning for employee onboarding and offboarding.

• Ensure that new employees have their equipment set up and ready before their first day.

• Prepare welcome packages for new employees.

Event Ownership

• Organize local office events (summer parties, team gatherings, seasonal celebrations).

• Coordinate with other RELEX offices for regional and international events when needed.

Office Management & Local Support

• Support employees with travel needs, such as plane tickets and corporate card benefits.

• Handle local purchases and practical arrangements using the company credit card.

• Manage day-to-day problem-solving with external providers to ensure the office runs smoothly.

Who We’re Looking For:

• Self-driven, proactive, and able to take full ownership of tasks independently.

• Strong time management and multi-tasking abilities, especially under pressure.

• Prior experience in office coordination, administration, hospitality, or facilities management is highly valued.

• Excellent communication and interpersonal skills.

• Fluent in both Italian and English.
