Job Summary:
The Office Coordinator will be responsible for assisting in all assigned responsibilities and projects. The functions of the position serve as valuable support for the organization, function and safety of the corporate office
Responsibilities and Duties:
Responsible for the coordination of all building related items, such as identifying maintenance issues, scheduling repairs, maintaining keys/fobs, overall awareness of needs and security for the corporate office
Corporate credit card maintenance and monthly expense reporting
Pull All monthly corporate credit card holders reports and email to appropriate staff
Responsible for the Utility Set Up for new property acquisitions; manage Leave on agreements; train property staff on utility logs;
Property Insurance: Maintain all property policies and renewals. Organization and file in Google folders; update policy dates and information in Appfolio; and maintain the Master List
Digital Google organization needs: Organize and maintain the company and corporate drives
Maintain “Reports” email and send out reports as needed to owners/staff/lenders
Prepare and send Quarterly and Year End lender reports
LLC renewal, upkeep and maintenance for all owners
Prepare and send Quarterly Reserve submissions to lenders for required properties
Provide backup to the Front Desk on phones, walkins, deliveries, etc.
Provide backup Front Desk, in their absence, with weekly Monday owner reporting
All other duties as assigned
Required Skills/Abilities:
Detail oriented
Proficiency in Google Documents (Word) Google Sheets (Excel) and Google Email / Platform
Excellent computer skills
Excellent organizational skills
Excellent communication and interpersonal skills
Strong customer services skills
Education and Experience:
At least two years of office related experience required
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer
