The Opportunity
We are seeking a highly organized, proactive, and dependable Office Administrator to support the daily operations of our office. This role is critical to maintaining a productive, welcoming, and well-run work environment. The Office Administrator will manage office logistics, coordinate interviews, support team culture initiatives, and provide administrative support to the leadership team.
Key Responsibilities
Office Management
• Oversee day-to-day office operations and ensure the workspace is organized, professional, and fully functional
• Manage office supplies, inventory, and vendor relationships
• Coordinate facilities needs, maintenance requests, deliveries, and mail
• Maintain common areas, conference rooms, and shared spaces
• Plan and coordinate team bonding and culture-building events, including managing logistics, vendors, scheduling, and on-site execution
Interview & Scheduling Coordination
• Schedule and coordinate candidate interviews (virtual and in-person)
• Communicate directly with candidates to confirm logistics and ensure a positive experience
• Coordinate calendars across hiring managers and leadership
• Prepare interview rooms, materials, and hospitality for in-office interviews
Leadership Support
• Provide administrative support to the leadership team
• Assist with calendar management, meeting coordination, and travel arrangements as needed
• Prepare documents, presentations, and meeting materials
• Support special projects and ad hoc administrative needs
Qualifications
• 2-5 years of experience in office administration, office management, or a similar role
• Strong organizational and time management skills with attention to detail
• Excellent written and verbal communication skills
• Proficiency in Google Workspace
• Ability to manage multiple priorities and work independently
• Professional, resourceful, and service-oriented mindset
