Your tasks:
ISCC – International Sustainability and Carbon Certification is one of the leading certification systems for sustainability, traceability and the reduction of greenhouse gas emissions. Our activities and impact are expanding and our teams are growing exponentially since the last 3 years.

To further strengthen our internal operations, we are looking forward to welcoming you as Office Administration & Operations Manager within the People & Culture team at our headquarters in Cologne.

In this role, you take care of the day-to-day office operations, ensuring efficient workflows, smooth onboarding processes, professional vendor management, and high-quality internal documentation across locations and companies.

Your main duties will be:

• Central coordination and administration of all office management processes across our six sister companies in our entity in Cologne
• Optimization, standardization, and continuous improvement of internal office workflows and taking charge of documentation, including handbooks, guidelines, and checklists
• Key interface function between People & Culture, Management, IT, Accounting, and external service providers
• Ownership of administrative onboarding processes for new employees, including conducting onboarding sessions related to Office Administration and Health & Safety
• Management of contract registries, vendors, and suppliers (e.g. facility and cleaning services, insurance management)
• Support in planning and coordinating internal events, workshops, and company meetings in close collaboration with the Academy & Events team
• Upholding our administrative processes and internal standards by continuously promoting them
• Contribution to cross-functional projects and continuous improvement of initiatives within ISCC
• Guidance and responsibility for supporting interns or working students


Your profile:
• University degree in humanities, business management or another related field, or a related vocational training
• At least 3–5 years of relevant professional experience in office administration or a similar environment
• Very good German and English language skills (at least C1, both written and spoken)
• Strong process-oriented mindset with experience in workflow optimization and documentation
• Excellent organizational, prioritization, and decision-making skills
• True service-oriented mindset with an approachable, friendly, and diplomatic manner
• High level of independence, reliability, and attention to detail
• Strong communication and interpersonal skills, including intercultural competence, presentation, and stakeholder management
• Very good MS Office and general IT user skills
