Role Summary:
The role holder will be a key member of a team responsible for providing a 24 hours a day, 7 days a week on-call service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office.
In addition to a standard working week, you will be required to undertake work out of usual office hours on a rotation basis.

Location: Oslo, Norway (Hybrid)
Key Responsibilities:
Receive schedules and ETAs and proactively coordinate with port authorities, terminals, and service providers to secure optimal berthing and operations in the Principal’s best interests.
Prepare PDAs, respond to proforma cost requests, request pre-funding, ensure accurate PDA/CE cost capture, and hand over to Finance in a timely manner.
Manage all pre-arrival, arrival, port stay, and departure documentation, including vessel, cargo, customs, government, Statements of Fact, manifests, and arrival/departure data.
Arrange customs clearances and complete all cargo documentation.
Book and coordinate all port, marine, and terminal services, including pilots, towage, lines, surveys, inspections, bunkers, fresh water, and garbage off-load.
Coordinate full vessel husbandry services, including crew changes, technicians, ship visitors, spares, provisions, Cash to Master, and mail/parcels.
Provide continuous and real-time operational updates to Principals and stakeholders and board vessels on arrival and/or departure as required.
Maintain and update principal-specific systems, internal systems, and port/terminal/berth data, including restrictions and tariffs, ensuring data integrity.
Ensure supplier invoicing compliance and understanding of procedures and contacts.
Ensure compliance with SOPs, KPIs, and customer standing instructions, escalating issues to the Team Lead as required.
Perform other port agency duties as dictated by business needs.
Candidate Requirements:
Prior port agency experience or a background or education in the maritime, shipping or logistics field is desirable.
Maritime qualification (or willing to work towards) desirable.
Eligibility to work in Norway without needing employer sponsorship.
Full Norwegian Driving License and be willing to drive to ports across the region as required.
Able and willing to work outside normal office hours (weekends and on public holidays) as required.
Experience working in a front facing customer service role.
Have strong communication and leadership capacities with a hands-on attitude.
Competent user of the Microsoft Office suite including Outlook, Excel and Word.
