Role Summary
IBS is hiring an experienced ERP Administrator with deep NetSuite OneWorld expertise to optimize how our teams work every day. This role focuses on workflow optimization, user experience, documentation, testing, and training, with a strong emphasis on making NetSuite intuitive and effective for non-technical users.
The ideal candidate is detail-oriented, process-driven, and takes personal pride in doing things the right way. You care deeply about clean systems, accurate documentation, and helping users truly understand how, and why, things work.
A major component of this role is end-user training. You’ll design and deliver engaging training programs, build high-quality documentation and videos, and help develop AI-powered training tools to scale knowledge across the organization.
You will work closely with the Global IT Director and key business stakeholders to continuously improve how IBS uses NetSuite.
What You’ll Do
NetSuite Optimization & UX Improvement
Optimize and maintain NetSuite configurations with a focus on usability, performance, reliability, and scalability
Streamline forms, fields, roles, dashboards, approvals, and navigation to improve the end-user experience
Partner with the Global IT Director to identify, prioritize, and deliver system improvements
Workflow Excellence
Design, refine, and troubleshoot NetSuite Workflows to reduce manual steps and increase consistency and control
Identify operational bottlenecks and implement workflow improvements that measurably reduce friction for users
Reporting, Dashboards & Data Access
Build and maintain reports, dashboards, alerts, and KPIs using all available NetSuite tools
Leverage advanced saved searches, Workbooks, and SuiteQL for analysis, validation, and troubleshooting
Documentation & SOP Development
Review, update, and maintain SOPs to ensure they stay accurate as systems and processes evolve
Maintain clear change logs and documentation that others can rely on
Contribute to the development of an SOP Chatbot, enabling users to ask “how do I process this?” questions in natural language
Testing & Release Support
Support testing for new integrations and customizations, including test plans, regression testing, and UAT
Validate changes with business stakeholders and ensure acceptance criteria are met
Help identify and resolve root causes, not just symptoms
End-User Training (Primary Focus)
Design and deliver engaging training programs for non-technical users
Create high-quality training materials, including:
Slides and job aids
Quick-reference guides
Videos and hands-on exercises
Lead live training sessions that leave users confident, and excited, to adopt improved processes
Light Script Development (Nice to Have)
Perform simple script development when needed (not required)
Comfortably use AI tools (e.g., Codex) to accelerate simple development tasks without sacrificing quality
Required Qualifications
3+ years of experience as a NetSuite OneWorld Administrator
Deep expertise in NetSuite Workflows (build, optimize, debug, simplify)
Understand how to build dashboards and processes that are beneficial to the end user
Comfortable with Git and basic version control workflows
Naturally meticulous: documentation, accuracy, and correctness matter to you
Proven experience delivering engaging, non-technical end-user training
Preferred Qualifications
Experience in an inventory distribution or inventory-heavy business
Some exposure to SuiteScript or script development
Experience supporting integration testing and release cycles
Work Hours & Collaboration
Minimum 2 hours per day overlap, with US Pacific Time Business Hours (8:00 AM – 5:00 PM PST). This applies Tuesday through Friday Philippines time only
Preferred hybrid role but fully remote is acceptable for exceptional candidates who are not within commuting distance of the office
Reports directly to the Global IT Director
Works closely with global stakeholders
