We are seeking a detail-oriented National Operations Assistant in Miami Gardens, FL. This full-time, in-office role requires 2+ years of administrative, operational, or facilities support experience in a corporate or professional services setting. You will be an integral part of day-to-day operations, corporate administration, and facilities management for a national law firm based in Miami Gardens. The role demands strong organizational skills, proficiency with technology, and the ability to manage multiple tasks efficiently in a fast-paced office environment.
Responsibilities
• Manage user credentials, system access, and password resets across internal systems, court portals, and legal research platforms in Miami Gardens.
• Track and monitor shipments with FedEx and other carriers to support operational and IT teams.
• Receive, sort, and distribute incoming mail at the Miami Gardens office.
• Maintain office inventory, including supplies, toner, and other administrative items.
• Coordinate logistics for office furniture, storage, kitchen supplies, and other facility needs.
• Assist with setup, relocation, and reconnection of office equipment.
• Process and track returned equipment from departing employees across national locations.
• Provide front desk support, manage overflow calls, and respond to facilities-related requests.
Requirements:
• 2+ years of experience in administrative support, operations, or facilities coordination.
• Proficient in office technology, shipping software, and web-based platforms.
• Strong attention to detail and ability to follow established procedures.
• Excellent organizational skills and capacity to manage multiple priorities.
• Professional communication skills with a client-service mindset.
• Ability to work independently while collaborating with a national operations team.
• Must be a local resident of Miami Gardens, FL and available for full-time, in-office work.
