Primary Function
The Membership Coordinator is responsible for completing day-to-day tasks that assist in tracking members attendance and registration and support overall organizational goals regarding membership. This individual will provide excellent customer service and communication to Club members, families and Club visitors, perform recruitment and outreach activities, and encourage program participation.
Key Responsibilities
Program Support and Operations
Promote and stimulate program and Club participation, welcome new members and families and participate in their orientation process.
Communicate with Club members and their families regarding Club programs, activities and opportunities through email, text, html newsletters and website updates
Build and manage registrations for Club afterschool and summer programs.
Ensure program attendance tracking to meet program goals and funding goals.
Participate in staff meetings.
Assist in generating data-based reports, including annual Boys & Girls Clubs of America report
Support staff through purchasing program supplies, assist with program attendance in other areas.
Assist with special programming such as family nights, recognition of members, community service programs and full Club events.
Support marketing and development initiatives, including donor acknowledgement and data entry/reporting.
Contribute to maintaining public trust by representing Club programs and services professionally and positively.
Help create a safe, inclusive, and developmentally supportive environment for youth.
Responsible for safety of youth, monitoring Club members, visitors, as they enter and exit, and the bathroom protocols.
Responsible for Club entrance, maintaining a clean, exciting first impression, including the operation of digital display system, door signage, and other components as assigned.
Perform other duties as assigned by the Director of Club Services.
Leadership and Collaboration
Actively participate in team meetings and collaborative planning sessions.
Engage in ongoing professional development aligned with role responsibilities.
Build and maintain positive relationships with community partners and school districts to enhance program visibility and impact.
Consistently model and uphold the values and mission of the Boys & Girls Club.
Demonstrate initiative and independent judgment while working within organizational policies.
Track and manage assigned budgets and ensure alignment with organizational guidelines.
Relationships
Internal: Collaborate with the Director of Club Services, program staff, and administrative teams to support effective communication and program delivery.
External: Serve as a positive liaison to families, community partners, schools, and stakeholders; communicate clearly and professionally in all interactions.
Qualifications and Skills
Proficiency in Microsoft Office tools (Outlook, Word, Excel, Teams); experience with data management systems preferred.
Knowledge and experience with Salesforce or ability to learn
Strong verbal and written communication skills.
CPR and First Aid certification required (or ability to obtain).
Ability to manage multiple priorities, meet deadlines, and problem-solve independently.
Demonstrated ability to give and receive constructive feedback.
Comfortable working in diverse environments and with individuals from various backgrounds.
Must be able to pass a criminal background check.
Workplace Environment
The work environment characteristics described here are representative of those an employee may encounter while performing the essential functions of this job.
Normal internal working environment with duties are normally performed at the Boys & Girls Club of La Plata County and local school sites
Able to function under fast-paced and noisy conditions
Schedules vary depending on program and operational needs including nights and weekends
Occasional travel required - able to travel by car and by air; able to navigate areas of the state by using a map or other direction methods
Pre-employment background check and random drug testing required

The employee may occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Hand-eye coordination is necessary to perform certain duties. The noise level in the work environment can range from quiet to moderate in office settings to moderate and usually loud in recreation and play settings when children are present. Must be able to hear and understand speech at normal levels and speak in audible tones so that others may understand clearly
All employees working directly with children at all Boys and Girls Club of La Plata County must work outdoors in various types of weather conditions.
