SUMMARY OF POSITION:
Under general supervision of the Manager of Member Services; Often serves as the first point of contact for a new member/customer. Will work with members and customers to set up and maintain accurate account information in order to provide excellent service and facilitate accurate billing on a timely basis. Will greet walk in visitors and answer phone calls, and in a courteous and efficient manner will; answer questions, resolve problems, or direct member to the appropriate personnel for further assistance. Accepts and posts payments, prepares receipts, and balances cash and checks for deposit. Acts as a representative for all products and services we provide. May perform other customer service or accounting duties and assist other departments as needed in the course of business.
DUTIES AND ACCOUNTABILITIES (End Results Expected):
Serves electric and propane members/customers by providing service requests, maintaining accurate account information, answering questions and offering assistance.
Helps members/customers and general public by answering and routing incoming telephone calls. Handles radio communications as necessary.
Prepares and sends accurate member/customer bills in a timely manner.
Maintains revenues by processing billing data.
Corrects bills when necessary, by calculating and processing adjustments.
Protects consumer information and ability to maintain confidentiality of consumer accounts.
Resolves member/customer billing problems by determining the problem, explaining the process and procedure and if necessary, referring to the appropriate personnel.
Encourages the use of other programs Fall River offers, such as, Conservation programs, Helping Hands/Round up, & Green Power.
Assists members/customers with duties relating to new construction, setting up work orders, send out paperwork, construction deposits, aid to construction and all other applicable costs.
Helps customers with product sales, such as: Propane, & Renai heaters.
Opens, sorts, and delivers incoming mail, prepares bank deposits, applies payments to consumer accounts. Does daily cash drawer balance when necessary.
Prepares outgoing mail, Fed Ex, UPS deliveries as needed.
Maintains a safe working environment by adhering to policies, procedures, and regulations.
Conducts oneself in such a manner as to contribute a better understanding of the Cooperative principles when in contact with members or the general public, as well as maintain a harmonious relationship with all Cooperative personnel.
Creates pamphlets and literature as needed to prepare member packets to send to new members/customers.
Performs data entry and scanning.
May help plan Annual Meeting & Member Appreciation Days when needed.
Follow red flag rules outlined by the Fair and Accurate Credit Transactions Act of 2003 and Fall River Policies and Bylaws.
Other duties as assigned.
INTERPERSONAL SKILLS:
Requires excellent interpersonal skills, must have the ability to work closely with all levels of personnel, member/customers, the general public, and other departments in a courteous and personable manner. Employee will use discretion when dealing with cooperative, or member information of a confidential nature.
COMMUNICATIONS:
VERBAL:
Must possess good communication skills to effectively express oneself to members/customers and all level of employees. English with ability to translate and communicate in Spanish is a great asset to the position.
WRITTEN:
Ability to communicate knowledge and ideas with clearness, effectiveness, and ease.
SCHEDULING AND PLANNING:
Must be able to schedule and organize time efficiently to complete tasks.
BASIC JOB REQUIREMENTS:
EDUCATION:
High School Diploma or equivalent education.
EXPERIENCE:
Prefer some customer service, billing or accounting experience.
OTHER SKILLS:
Completes tasks in a safe and efficient manner.
EQUIPMENT OPERATED:
Multi-line phone system, personal computer, and software. Internet usage as directed.
WORKING ENVIRONMENT:
Work is generally preformed at a desk in an office environment with some travel to outlying offices. General physical requirements include: sitting for extended periods, standing, stooping, keyboarding, and reaching out and above head. Some lifting is required approximately 0 -50 pounds. If needed, reasonable accommodations will be made when possible.
