We are seeking a highly organized, resourceful, and proactive Executive Operations Assistant who excels at problem‑solving and confidently manages multiple priorities with professionalism. This role is ideal for someone who thrives in a dynamic nonprofit environment, enjoys research and coordination, and brings initiative and poise to balancing diverse responsibilities.
In this role, the Executive Operations Assistant will serve as a key support resource for the CEO and the Executive Director of Operations, delivering high‑level administrative and operational assistance in accordance with organizational requirements.
Qualifications and Requirements:
Experience in a similar support position, as well as background in the nonprofit sector or funding research, will be considered an asset.
Post‑secondary education in business administration or a related field (asset).
Excellent written and verbal communication skills.
Upholds strict confidentiality protocols and demonstrates professionalism when entrusted with sensitive, confidential, or proprietary information, understanding that protection of such information is fundamental to ethical practice and organizational credibility.
Exceptional organizational skills with the ability to manage time, prioritize tasks, and meet deadlines.
Proven ability to work independently and collaboratively while handling sensitive information.
Proficiency with MS applications, digital tools, and standard office equipment.
Ability to compile and analyze data reports using excel and organization specific databases.
Skilled in calendar management, meeting coordination, and logistical planning.
High attention to detail and accuracy.
Adaptable, flexible, and comfortable working in fast‑paced or changing environments.
Strong interpersonal skills with the ability to build rapport and deliver excellent customer service.
Demonstrated initiative, problem‑solving abilities, and sound judgment.
Strong research and analytical skills, especially in interpreting funding guidelines and eligibility criteria.
Key Responsibilities:
Manage the calendars for the CEO and Executive Director of Operations, including scheduling and organizing meetings.
Prepare emails, reports, presentations, meeting materials, and document meeting minutes.
Arrange travel plans, create detailed itineraries, and track travel expenses for the CEO and Executive Director of Operations.
Serve as the main contact for internal teams and external partners. This includes collecting information from staff, getting quotes, arranging services, coordinating schedules, and handling logistics for events or projects.
Keep digital and physical filing systems organized.
Oversee and maintain workplace equipment across all regions.
Research government grants, nonprofit funding programs, and other funding opportunities that support our mission.
Prepare and maintain organized database of current, upcoming, and past funding opportunities.
Monitor updates from government departments, nonprofit networks, and funding agencies.
Research and identify partnership opportunities that help the organization grow.
Support major nonprofit projects by helping manage timelines, deliverables, and stakeholder communication.
Assist with project planning, documentation, reporting, and coordination.
Provide reception coverage when needed.
Perform other tasks as assigned.
Type: Full Time (37.5 hrs per week)
The successful applicant will be based on-site in Winnipeg, Manitoba office.
Salary: $53,000 per annum
