Job Title: Medical Virtual Assistant (Front Desk Receptionist & Administrative Assistant)

Position Type: Part-Time

Work Hours: 8:00 am to 12:00 pm Eastern Time Zone (EST)

Work Days: Weekdays (Monday - Friday)

Salary: $5–$6 per hour

Job Code: V-BB

Scope of Work / Responsibilities

• Provide virtual receptionist support. through call handling, handling of patient inquiries and conducting intake processing in a professional and timely manner.
• Scheduling management. Appointment setting and converting inquiries into scheduled appointments
• Provide great customer service through patient communication and follow up with potential clients.
• Manage complex therapist and patient scheduling.
• Handle cancellations and rescheduling to maintain full provider calendars.
• Send follow-up emails and continue outreach efforts until patients are successfully booked.
• Perform insurance verifications prior to scheduled appointments.
• Support general administrative tasks as needed.
• Take on expanded responsibilities as the practice grows.


Requirements:
• Healthcare background preferred, ideally in ABA, therapy, or behavioral health.
• Experience with insurance verification.
• Atleast 1 year of medical virtual assistance experience
• Strong verbal and written communication skills for patient interactions.
• Highly organized with the ability to manage complex scheduling.
• Able to multitask and prioritize effectively in a fast-paced environment.
• Coachable and adaptable to practice-specific workflows.
• Knowledge of HIPAA compliance and patient confidentiality standards.
• Proficiency in EMRs like WeThink and Google Chat is a plus

Basic requirements

• Must be proficient in speaking and writing English very clearly
• Must have relevant work experience
• Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
• Must be available for video meetings with your camera on (when needed)

• Internet: High-speed connection (minimum 10 Mbps).
• Audio: Noise-canceling headset.
• Video: Webcam for virtual meetings.
