Key Responsibilities
• Provide comprehensive secretarial support and coordinate all administrative duties for assigned consultants.
• Manage consultant schedules, including booking outpatient and theatre appointments, and recording annual leave, study leave, meetings, and other commitments.
• Amend or cancel clinic lists as required, ensuring all relevant staff are informed and appointments are rescheduled and reissued promptly.
• Complete imaging request forms within Meddbase and arrange appointments, providing fee information for self‑funded patients where applicable.
• Prepare consultant clinics by ensuring all necessary information (e.g., imaging reports, referral letters) is available ahead of each patient appointment.
• Coordinate theatre bookings, including completing theatre booking forms, scheduling patients in Meddbase, issuing confirmations, and managing pre‑assessment and post‑operative appointments.
• Liaise effectively with internal departments such as radiology, bookings, and appointments to support a seamless patient journey.
• Review dictations, edit, and distribute clinic letters to patients, referrers, GPs, and other relevant parties.
• Scan and upload medical documents and correspondence to the correct patient file.
• Act as a point of contact between patients, consultants, and wider clinical teams, ensuring clear and timely communication.
• Respond promptly to patient enquiries via phone and email.
• Process payments for self‑funded patients in line with required procedures.
