Medical Records Administrator (US Healthcare) - Remote (EST Hours)

We are seeking a detail-oriented Medical Records Administrator to support the creation and maintenance of complete and accurate patient medical charts for multiple nursing home operators across the United States. This role involves working with various Electronic Health Record (EHR) systems and adapting documentation processes based on patient stay types, including short-term rehabilitation and long-term care residents.

PLEASE NOTE:

• Working Hours: Monday – Friday | 9:00 AM – 6:00 PM EST (4:00 PM – 01:00 AM South African time – subject to daylight savings).
• Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA).
• Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered.
• Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered.
• Work Environment: Fully remote.

Key Responsibilities:

• Compile and construct comprehensive patient medical charts using multiple EHR systems.
• Ensure all documentation is accurate, complete, and compliant with HIPAA regulations.
• Adapt chart-building processes according to patient stay classification.
• Collaborate effectively with internal teams and proactively seek clarification when required.
• Utilize Adobe Acrobat Pro, Microsoft Outlook, and Microsoft Office applications efficiently.
• Maintain strict confidentiality when handling sensitive medical information.

Requirements:

• Excellent English communication skills (written and verbal).
• Strong proficiency in Adobe Acrobat Pro, Microsoft Outlook, and Microsoft Office.
• Tech-savvy with the ability to learn new systems quickly.
• Exceptional attention to detail and strong critical thinking skills.
• Ability to manage sensitive, HIPAA-protected information responsibly.
• Self-motivated, proactive, and comfortable asking questions to ensure accuracy.
