Job Overview
Monroe Biomedical Research (MBR) is seeking a friendly, organized, and professional Receptionist to join our Monroe, NC clinical research site. This role serves as the first point of contact for patients, study participants, visitors, and staff, helping create a welcoming and efficient environment for all who enter the clinic.
The Receptionist plays a key role in supporting daily site operations by managing front-desk activities, assisting with administrative tasks, and collaborating with the clinical research team to ensure smooth patient flow and excellent service delivery.
Key Responsibilities
Front Desk Management
Greet and assist visitors, patients, and study participants in a warm and professional manner
Maintain sign-in logs for all visitors and clients
Answer and direct phone calls to appropriate staff or departments
Schedule appointments and follow up with patients or participants as needed
Maintain and update patient/participant schedules and records
Ensure the waiting area is neat, organized, and welcoming
Administrative Support
Perform general office duties such as filing, faxing, scanning, and data entry
Assist with patient paperwork, including obtaining signatures for consent forms and other documentation
Coordinate communication between patients/participants and the clinical research team
Support patient follow-up calls, reminders, and recruitment efforts as needed
Clinical Research Support
Provide administrative support to clinical research coordinators and investigators
Prepare and organize study materials, documents, and equipment
Assist with distributing patient education materials and study information
Maintain confidentiality and comply with HIPAA and all applicable privacy regulations
Site Operations
Ensure office supplies and clinic materials are stocked and organized
Assist in maintaining cleanliness and safety standards in the reception area
Qualifications
Required:
High school diploma or equivalent
Preferred:
Associate’s or Bachelor’s degree in healthcare administration, business, or related field
Previous experience in a receptionist or administrative role, preferably in a healthcare or clinical research setting
Skills & Competencies:
Strong communication and interpersonal skills with a patient-centered approach
Professional phone etiquette
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment
Ability to multitask in a fast-paced environment
Strong attention to detail and organizational skills
Ability to maintain confidentiality and adhere to ethical standards
Willingness to learn clinical research processes and terminology
Preferred Additional Skills
Experience with Clinical Trial Management Systems (CTMS)
Experience scheduling medical or clinical trial appointments
Bilingual skills (English/Spanish or other languages)
