About the Role
Our client is seeking a reliable, detail-oriented Medical Receptionist / Medical Administrative Assistant to support a growing behavioral health practice. This role is essential to daily operations and patient experience, with a strong focus on insurance verification, prior authorizations, scheduling, and patient communication. The ideal candidate has a healthcare background, excellent organizational skills, and a compassionate communication style. Experience in behavioral or mental health settings is strongly preferred.

• Co-payment collection and payment processing via Square (email payment links)
• Appointment scheduling and calendar management for multiple clinicians
• Prior authorization handling
Scope of Work/Responsibilities
• Insurance verification and eligibility checks
• Review benefits, copays, deductibles, and coverage limits
• Handle prior authorizations for behavioral and mental health services
• Collect copayments and process payments via Square using email payment links
• Schedule appointments and manage calendars for multiple clinicians
• Prevent scheduling conflicts and double bookings
• Patient intake processing and chart management
• Manage and update patient records within Notenetic EHR
• Handle inbound and outbound calls via Google Voice with call forwarding
• Manage emails, patient follow-ups, reminders, and documentation
• Maintain strict HIPAA compliance in all communications and systems
Requirements:
Experience requirements
• Healthcare Experience
• Healthcare background required
• Strong preference for nurses, doctors, or medical professionals
• Behavioral health or mental health experience strongly preferred
• Experience with insurance verification and prior authorizations is a must
Technical & System Requirements
• Experience with Notenetic EHR or similar EHR platforms (or fast learner)
• Experience with Square payment processing (optional, but preferred)
• Comfortable managing schedules for multiple clinicians
• Proficient with messaging and communication tools: Slack, Salesforce, WhatsApp, Skype, & Google Meet
• Ability to adapt quickly to new systems and workflows
Bonus (Not Required)
• Experience working with Louisiana Medicaid or state-specific insurance plans
Technical requirements
• Device: Reliable laptop or desktop computer.
• Internet: High-speed connection (minimum 10 Mbps).
