Job Summary
Supervises Medical Office Assistant (MOA) staff and participates in their recruitment, training, selection, and evaluation. Participates 75% of the time in the coordination of administrative and 25% clerical work in a medical office environment. Performs a variety of administrative duties and MOA duties. Contributes to the maintenance of quality medical services to clinic participants and makes recommendations for improvement as they arise.
Responsibilities
Clinic Oversight and Quality Assurance
Receives information on service/system enhancements identified by providers and establishes a plan for the MOA team to implement. Identifies areas to improve in all aspects of clinic operations, such as Health and Safety and patient management. Participates in Provider, Interior Health (IH), and OneSky planning meetings. Conducts weekly reconciliation of billings and bills third parties for clinic services. Ensures there are adequate supplies for the clinic.
Scheduling and Operations
Assigns work, provides direction to MOA staff and ensures that assigned tasks are completed. Ensures effective and appropriate MOA staff coverage and assists in the creation of schedules for MOA coverage. Manages the scheduling of Providers for Martin Street providers. Manages allocation of providers on MedAccess. Handles after-hour calls from MOA staff dealing with staff absences or other work-related issues that may come up.
MOA Staff Supervision: Orients, trains, and supervises a team of MOA staff. Monitors the performance and provides feedback through ongoing coaching and performance evaluations. Debriefs critical incidents and recommends changes based on observations.
Recruitment and Selection: Participates in recruitment and selection duties such as advertising vacancies, screening resumes, interviewing applicants, conducting reference checks, and providing input on selection.
Client Information Management: Supports the maintenance of patient records and information using EMR systems and databases such MedAccess. Provides access to ERM for all clinic staff.
Perform Other Related Duties as Required, Including MOA Duties:
Perform reception duties for the Urgent and Primary Care Clinic and all clerical and support duties for Primary Care Practitioners to maintain the clinic flow and run an efficient and fast-paced clinic environment.
Manage walk-in clients, book appointments, manage a busy wait room, answer patient inquiries and anticipate the needs of the clinic and the client.
Maintain a knowledge of community resources to better serve clients experiencing various health challenges and/or who are at risk.
Manage and complete tasks set forth by each Primary Care Practitioner in a timely manner.
Prep exam rooms and patients for appointments, including ensuring appropriate supplies for complete physical exams, labs, and minor procedures are available. Assist with procedure clean up and sterilization.
Assist Primary Care Practitioners with chaperoning and minor procedures or exams as requested.
Participate in data collection, evaluation and quality assurance tasks as requested.
Recognize and respond to potential emergency situations with confidence and ease.
Qualifications
Completion of a certificate or diploma program of up to one (1) year in business or office administration and/or MOA certification.
Three (3) years of recent related experience, including one (1) year in a supervisory capacity.
Experience in a clinic setting with diverse practitioners/providers is desirable
Experience working with vulnerable populations in health services is desirable
An equivalent combination of education, training and experience may be considered.
Knowledge, Skills, and Abilities
Intermediate computer software skills including MS Word, Excel, Outlook
Valid First Aid Certificate
Satisfactory completion of a Criminal Record Check is required
