Work hours: In between 6:30 AM – 5:00 PM PDT
Work days: Monday to Friday

About the Role
We are looking for a professional, consistent, and dependable Medical Billing Virtual Assistant to support a growing mental health practice. This role focuses primarily on billing and claims with a strong preference for candidates who have credentialing experience and are proficient with AdvancedMD.
The ideal candidate should be well-versed in CPT and diagnostic codes, claims submissions, and have a solid grasp of billing systems and patient communication protocols.
Scope of Work/Responsibilities
Medical Billing & Coding
• Process insurance claims (primary responsibility)
• Utilize CPT and ICD codes accurately
• Submit claims via AdvancedMD
• Follow-up on unpaid claims and billing discrepancies
• Provide billing support and resolve payment issues
• Explain billing charges to clients professionally
Credentialing Support (a major plus)
• Assist in provider credentialing and re-credentialing processes
Medical Admin & Reception
• Appointment scheduling & reminders
• Manage telehealth platforms and check-ins
• Client check-in, payment collection, and documentation
• Respond to patient inquiries and correspond professionally
Patient & Office Communication
• Maintain professional tone with clients (including difficult or emotional individuals)
• Coordinate effectively with internal healthcare teams
• Handle medication requests and appointment concerns with tact and clarity
Additional Admin Support (as needed)
• Email and text management (sorting, prioritizing, responding)
• Document prep (reports, spreadsheets, presentations)
• Social media management (content creation, scheduling, monitoring)
• CRM communication (Slack, Salesforce, WhatsApp, Skype)
Client Interaction
Our clients are generally easy to work with, but questions about charges or medications may arise. It’s important you’re confident, patient, and professional—even with challenging situations. This is a client-facing role that requires composure, empathy, and clear communication.

Requirements:
• Medical education or degree is not required but healthcare-related experience is preferred
• Previous experience working as a Virtual Assistant is preferred
• Medical license such as doctor, nurse, PT, or similar is not required but considered a plus
• Experience with AdvancedMD is required
• Strong knowledge of CPT and ICD coding
• Experience with medical billing, insurance claims, and billing systems is required
Basic requirements
• Must be proficient in speaking and writing English very clearly
• Must have relevant work experience
• Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
• Must be available for video meetings with your camera on (when needed)
