Experienced Medical Assistant – Personal Injury (Pain Management)
Job Summary
We are seeking an experienced Medical Assistant with a strong background in Personal Injury to support a high-volume pain management practice. This role is ideal for someone who understands the flow of PI cases, legal documentation requirements, and attorney coordination, while also providing excellent clinical support.
The ideal candidate will be comfortable managing both patient care and case-related administrative responsibilities, with a clear understanding of how proper documentation and communication impact case outcomes and settlements.
Key Responsibilities
Clinical Responsibilities
Room patients, obtain vital signs, and document detailed injury-related histories
Assist providers during exams and interventional pain procedures (e.g., joint injections, trigger point injections)
Accurately document pain levels, functional limitations, and treatment progress
Prepare patients for procedures and provide post-care instructions
Perform in-office testing (UDS, EKG, etc.) as needed
Maintain clean, stocked, and organized treatment rooms
Personal Injury Case Support
Document mechanism of injury, accident details, and ongoing symptoms with accuracy and consistency
Ensure all patient charts are complete, detailed, and legally compliant
Monitor treatment plans and ensure proper follow-up for PI patients
Identify missing documentation that could delay case progression
Attorney Communication & Records Handling
Communicate with attorneys, case managers, and legal staff regarding:
Patient treatment status
Appointment updates
Documentation requests
Process and fulfill requests for:
Medical records
Billing statements
Narrative and progress reports
Compile and transmit complete, organized records in a timely manner
Maintain logs of all requests and ensure deadlines are met
Administrative Duties (PI-Focused)
Manage intake and ensure all required PI documentation is completed (LOPs, attorney info, accident details)
Track and update liens and Letters of Protection (LOPs)
Coordinate with billing team to ensure accurate and up-to-date patient balances
Assist in preparing documentation for settlement demands, including:
Medical records
Itemized billing
Treatment summaries
Support lien negotiation efforts by providing necessary documentation and responding to attorney inquiries
Follow up on outstanding documentation and post-settlement items as needed
Care Coordination
Schedule follow-ups, procedures, and referrals (PT, imaging, specialists)
Educate patients on treatment plans and expectations
Ensure continuity of care and patient compliance
Act as a point of contact for patient questions and concerns
Qualifications
High school diploma or equivalent required; Medical Assistant certification preferred
Minimum 2 years of experience in Personal Injury (REQUIRED)
Experience in pain management or orthopedic setting strongly preferred
Strong understanding of:
PI workflows and case progression
Medical liens and LOPs
Legal documentation standards
Experience handling medical records requests and attorney communication
Proficient in EMR systems (e.g., eClinicalWorks, Kareo, Athenahealth)
Excellent organizational and multitasking skills
Preferred Skills
Experience supporting lien resolution and settlement processes
Knowledge of California personal injury environment
Strong attention to detail in documentation and records handling
Ability to thrive in a fast-paced, high-volume clinic
Bilingual (English/Spanish) is a plus
