MEDICAL AFFAIRS COORDINATOR

The Wellington Health Care Alliance (WHCA) is currently accepting applications for a Full Time Medical Affairs Coordinator to join our team.
The Wellington Health Care Alliance (WHCA) is comprised of two corporations with more than 1,000 staff, including physicians and volunteers, operating three vibrant acute care hospital sites: Groves Memorial Community Hospital (Fergus), and North Wellington Health Care (Louise Marshall Hospital in Mount Forest & Palmerston and District Hospital in Palmerston).
The homesite for this position will be Groves Memorial Community Hospital.
Position Summary:
Reporting to the President & CEO, the Medical Affairs Coordinator provides high-level, independent support to the Medical Affairs portfolio across the Wellington Health Care Alliance.
This role supports the Chiefs of Staff, Professional Staff, and Medical Learners while ensuring compliance with legislation, bylaws, policies, and credentialing requirements. The position plays a critical role in maintaining effective medical staff governance and supporting the delivery of safe, high-quality patient care.
SUMMARY OF KEY RESPONSIBILITIES:
Coordinate Professional Staff appointments, reappointments, and medical resident credentialing in accordance with established processes and legislative requirements.
Act as the primary point of contact for Professional Staff and Medical Resident applicants throughout the credentialing and onboarding process.
Prepare and present credentialing and appointment packages for review by Chiefs of Staff, Credentials Committees, and the Board of Directors, including required follow-up.
Maintain accurate, secure, and highly confidential Professional Staff and Medical Learner files.
Oversee onboarding and documentation processes for Medical Learners (clerks, students, residents, midwifery and nurse practitioner students, observers) in alignment with affiliated academic and hospital agreements.
Coordinate orientation and onboarding activities with preceptors, Occupational Health & Safety, Professional Practice, and other hospital programs.
Liaise with IT to arrange system access, credentials, and identification badges for Professional Staff and Medical Learners.
Provide administrative and governance support to the Medical Advisory Committees (MAC), sub-committees, and Professional Staff meetings, including agenda preparation, minutes, reports, and action tracking.
Support the maintenance, development, and approval of Professional Staff by-laws, rules, and policies in alignment with legislation, best practices, and organizational standards.
Act as a liaison between Medical Affairs, Professional Staff, leadership, and external partners, supporting effective communication and relationship-building.
Provide executive-level administrative support to the Chief of Staff and back-up support to the Executive Assistant/Governance Lead as required.
Manage multiple priorities independently while meeting deadlines in a fast-paced, highly confidential environment.
All other duties, as assigned.
QUALIFICATIONS:
Post-secondary diploma or degree, or an equivalent combination of education, training, and experience.
3-5 years of related experience in Professional Staff credentialing within a hospital or comparable healthcare setting.
Strong working knowledge of hospital legislation, governance requirements, credentialing standards, and Professional Staff by-laws.
Demonstrated ability to work independently while maintaining strong collaboration with internal and external stakeholders.
Excellent interpersonal, communication, writing, and organizational skills with a high level of accuracy and attention to detail.
Proven ability to manage sensitive and confidential information with professionalism and discretion.
Ability to prioritize and manage competing demands in a dynamic, fast-paced environment.
Strong judgment, problem-solving, and conflict management skills.
Proficiency with MS Office 365 and medical terminology.
Knowledge of the Ontario Hospital Association Credentialing Toolkit is an asset.
Hours of Work: 37.5 hours per week
Travel will be required to our sites at Groves Memorial Community Hospital, Palmerston & District Hospital and Louise Marshall Hospital, so a valid driver’s license and reliable vehicle are required.
Salary Range: $39.59 - $46.32 per hour
