Main responsibilities:
The purpose of this role is to provide administrative support to the Division, to the MiM students and to provide the adequate assistance to the day-to-day running of every activity and/or event.
Program Coordination Tasks:
Coordinate logistics, ensure relevant materials are prepared, reviewed and distributed in a timely manner, etc.
Coordinate and control the day-to-day activities of MiM: attendance, payment calendar, invoices, expenses reports.
Handle internal/external communications via regular and electronic mail; monitor calls, handle questions and/or forward them to the appropriate contact.
Coordinate all the activities and seminars details (exams, graduation…).
Develop and maintain a filing system in a readily retrievable format, ensuring that all reports, proposals, etc. related to the Division are filed properly.
Working out of the regular schedule may be requested for special cases: grades reporting, comprehensive exams, invigilation of midterms or final exams.
Travel with students for international modules (NYC, Dubai) and coordinate all the logistics of the module in the local campus / venue.
Other general Tasks:
Provides assistance to the Director and Associate Directors as needed.
Produce documents and/or presentations using word, excel, power point.
Staff will get into contact with students from a variety of cultural backgrounds. It is expected that mutual respect, cultural awareness and cultural.
Education and experience:
University degree or equivalent preferred, with 1-2 years related office experience.
Strong computer skills. Experience with Microsoft Outlook, Word, Excel, and PowerPoint required.
English Native Speaker.
Work-permit in Spain
He/she should be comfortable with public speaking while displaying a high degree of professionalism and tact at all times.
The ideal candidate should be able to effectively balance customer service and critical decision making skills, be detail-oriented, enjoy working as part of a team, and be successful at multi-tasking. Should be willing to learn new software and to adapt to changes and updates as they occur.

Special Work Schedule Requirements:
Overtime may be necessary during special events: orientation, grading committees, exams, graduation...
Some events might require working on a Saturday.
Reporting:
The MiM Program Coordinator will report directly to de MiM Director.
