About the Role
The Marketing & Intake Coordinator supports the firm’s client acquisition funnel end‑to‑end, with a balanced focus on marketing campaign coordination (50%) and intake support and conversion (50%). This role ensures that marketing efforts translate into timely intake engagement, accurate data, and signed clients.
The position serves as a cross‑functional connector between marketing, intake, vendors, and operations—supporting campaign execution, intake follow‑through, data analysis, and workflow coordination. This role recognizes that intake is a sales‑critical function in a personal injury law firm, while also requiring strong operational discipline and systems fluency.
Key Responsibilities
Marketing Campaign & Funnel Coordination
Coordinate marketing campaigns across digital, referral, and paid channels, including Google Local Services Ads (LSA)
Support communication and collaboration between marketing vendors, intake teams, and operations
Track campaign timelines, deliverables, and dependencies
Ensure campaigns are properly tagged and tracked for attribution across systems
Monitor lead flow and intake outcomes tied to campaigns to assess effectiveness
Support refinement of campaigns using intake and conversion data
Assist with tracking marketing spend and budget pacing
Intake Support, Conversion & Client Engagement
Support intake coverage by engaging with inbound leads as needed
Ability to sell the firm to potential clients through clear, confident, and compassionate communication
Convert inbound leads into signed clients by guiding prospects through the intake and engagement process
Meet or exceed conversion targets related to intake performance
Conduct warm follow‑ups to prevent lead leakage and delayed responses
Reinforce the firm’s value proposition and next steps with prospective clients
Recognize intake as a sales‑critical function and support timely response standards
Data Analysis, Reporting & Attribution
Review intake and lead data for accuracy, completeness, and consistency
Analyze lead quality, conversion rates, disqualification reasons, and drop‑off points
Audit call tracking and form submissions (CallRail) for correct source attribution
Maintain dashboards and reports related to:
Lead sources and attribution
Intake outcomes and conversion
Campaign and channel performance
Prepare summaries and insights for leadership
Systems, Workflow & Automation Coordination
Support intake and marketing workflows across systems including:
CallRail
Litify (Salesforce‑based CRM)
Forms, automation, and marketing platforms
Assist with workflow and automation testing, validation, and documentation
Coordinate system changes with operations, IT, and vendors
Ensure workflows support compliance, intake quality, and scalability
Operations & Project Coordination
Partner closely with the Director of Operations to support:
Funnel refinement and workflow improvements
Team needs and capacity considerations
Information and reporting infrastructure
Use project management skills to connect teams and move initiatives forward
Track action items and follow‑through across departments
Systems & Tools
CallRail
Litify (Salesforce‑based CRM)
Google Business Profile
Data analysis and reporting tools
Firm‑approved marketing, intake, and automation platforms
Experience & Qualifications
3–5 years of experience in marketing, intake, data analysis, campaign coordination, or related operational roles
Experience supporting marketing campaigns, intake workflows, and/or lead conversion
Inside sales / lead conversion experience preferred
Comfort working across systems, dashboards, and CRMs
Strong communication skills and ability to build trust with prospective clients
Strong organizational and coordination skills
Education
Bachelor’s degree in business, Marketing, Communications, or a related field
