Role Overview
We’re seeking a Marketing & Business Administration Virtual Assistant to support both marketing operations and core business admin in a design/creative environment. You’ll help keep marketing execution organized while ensuring onboarding, accounts, and internal systems run smoothly.
Key Responsibilities
• Manage onboarding admin: set up Google accounts, group access, shared drive permissions, and basic tool access
• Assist with marketing operations: task coordination, campaign trackers, and asset delivery timelines
• Support light design work using templates (promo graphics, basic edits, formatting)
• Maintain internal documentation (SOPs, checklists, recurring processes)
• Coordinate calendars, meeting notes, and follow-ups across marketing/projects
• Support vendor invoices, purchase requests, and basic business admin tasks
• Maintain clean file organization and naming conventions across shared systems
Required Qualifications
• Non-negotiable: Prior remote work experience; fluent with remote collaboration tools (Slack, Zoom, Google Workspace, Asana or similar); ideally has supported US or UK-based companies—applications without this experience will not be considered
• Experience in VA/operations/admin support with exposure to marketing tasks
• Strong Google Workspace administration skills (permissions, drives, shared resources)
• Comfortable creating/editing basic marketing visuals in Canva (or similar)
• Reliable, proactive communicator with strong attention to detail
Preferred Qualifications
• Experience in a creative business (design, branding, content studio, agency)
• Light spreadsheet reporting experience (Sheets dashboards, simple summaries)
• Familiarity with CRM or email tools (HubSpot/Mailchimp)
Tools & Technology
Google Workspace, Slack, Zoom, Asana/Trello/ClickUp, Canva, Mailchimp/HubSpot (nice-to-have), Notion/Confluence (nice-to-have)
