About the Role
The Manager, Sales Operations is an operational, results-driven leader who serves as the primary point of contact for the Conventions team on sales operations responsibilities including Customer Relationships Management (CRM) system administration and training, lead assignment, data needs, standards compliance, reporting, analysis, and auditing.
This role leads a team of five Conventions Coordinators and is responsible for maintaining critical conventions data, optimizing systems, and ensuring consistent, high-quality support for Conventions Sales and Services managers.
What You’ll Do
Maintain Conventions data quality for organization and enhance process and workflow improvement efforts in the CRM to maximize productivity for the Conventions team.
Assist Sales leadership as needed to achieve Convention Sales room night goals and Visit Seattle service standards goals. Work to identify information needs in support of achieving sales goals.
Assist the Conventions team in maintaining their database of client information by employing best practices in sales data management, building reports, performing regular data audits, and coordinating required changes and upgrades to increase operational efficacy.
Manage and administer Seattle Convention Center calendar software. Serve as the primary liaison and system administrator for external vendors and industry partners (including Digideck, MINT, DI, Event Impact Calculator, Cvent, and FuturePace), coordinating data, research, and intelligence efforts in partnership with the Business Intelligence Director and Senior Director, Convention Strategy.
Be knowledgeable in the Economic Impact Calculator of Conventions sales leads to include underlying economics, all sales data, industry standards, ways to affect, iterations, and best practices in utilization of these calculations.
Maintain and support accurate economic impact calculations for definite bookings in Simpleview and monthly reports, including review and approval for post‑convention reporting.
Serve as the primary administrator for Simpleview CRM (Conventions sales module) and oversee Convention Sales lead operations, ensuring system effectiveness and data integrity in coordination with the Senior Director, Systems and Operations. Key responsibilities include:
Lead CRM enhancements, fixes, upgrades, training, and ongoing optimization; maintain reports, templates, fields, and overall usability in partnership with leadership and Simpleview support
Manage and audit the full Convention Sales lead lifecycle, including lead intake, quality review, approval, and overflow room management in alignment with established standards and timelines
Manage review and approval of Seattle Convention Center sales lead concessions and rebates to ensure compliance
Seattle Convention Center Momentus CRM
Serve as a knowledgeable back-up resource to facilitate Daily Business Review meetings. Manage the update and accuracy of Visit Seattle lead information in Momentus, including releasing space holds for lost business and/or as directed by Account Directors.
Manage and Optimize Reporting
Prepare and distribute monthly sales production and convention booking reports, monitoring individual and team performance against goals and sharing reports with hotel partners via Extranet
Develop and enhance reporting, tracking, and data visualizations using tools such as Power BI, PowerPoint, and Digideck
Prepare convention sales reports and coordinate presentation materials for Visit Seattle and Seattle Convention Center board meetings; provide ad hoc reports as requested
Manage the MINT account, produce group and FuturePace reports, and support leadership with reporting and analysis
Team Leadership & Development
Lead, coach, and inspire the Conventions Coordinator team
Conduct regular operational sessions, one-on-ones, and performance review
Ensure operational continuity by providing coverage for team member responsibilities, including NAD support, during their PTO or other absences.
Conduct training of all new Conventions team members about sales operations processes and tools, including on-going training needs.
Establish clear goals, performance expectations, and incentives aligned with organizational priorities.

Qualifications
1-3 years of people leadership experience preferred.
Hospitality or destination marketing experience preferred
Strong analytical, reporting, and data management skills.
Advanced proficiency with CRM systems, spreadsheets, and presentation tools.
Excellent written and verbal communication skills,
Excel in computational and analytical abilities and possess a keen attention to detail.
Strong service mindset and approach with both internal and external customers
Consistently positive attitude, professional and collaborative demeanor
Ability to be flexible, nimble and display incredible adaptability to changing needs.
Demonstrates initiative and self-motivation

Base salary range: $80,000 to $83,000 with an annual incentive up to 8%. Compensation decisions are based on experience and scope of responsibility.
