MinuteBox is a cloud-based platform used by law firms, large companies, and accounting firms for entity management, corporate governance, minute book storage and workflow automation. Its innovative suite of products are used by some of Canada’s largest legal departments and global professional services organizations.
The team has created the most powerful, accessible and secure legal technology available and the company is growing quickly as they continue to expand their footprint across North America.
As the Manager, Implementations, you will play a pivotal role in leading our data migration and technical onboarding function. You will oversee the import team, ensuring all customer data is migrated into MinuteBox accurately, securely, and on schedule across multiple simultaneous implementations. Your leadership will ensure we meet key deliverables, prioritize projects effectively, and maintain strong alignment across Customer Success, Revenue, Product, and Engineering.
You will bring structure, project management discipline, and a solutions-oriented mindset to our implementation process. This role requires the ability to manage complex workflows, balance competing priorities, and proactively identify risks or blockers before they impact customer outcomes. You have a passion for problem-solving, operational excellence, and helping customers achieve their goals through technology.
In this role, you will lead customer-facing and internal workstreams related to imports, managing timelines, expectations, scope, and overall implementation health. You will establish best practices, improve processes, and create predictable, scalable migration workflows for the organization.
As a key member of the Customer Success organization, you will report directly to the VP, Customer Success and collaborate closely with the Onboarding team to deliver a high-quality, predictable, and efficient implementation experience for every customer.
PREREQUISITES
5 years of Project Management and Import project related experience with adaptability and creative problem solving skills
Excellent communication skills and the ability to work as a member of a team as well as independently.
High attention to detail and the ability to manage a varied workload, with great organizational skills in managing multiple projects while following procedures
Proficient in utilizing Project Management tools and synthesizing data and creating reports to align with project deadlines and metrics.Â
Time management and prioritization skills with the ability to juggle demands and meet deadlines
Proficient in MS office & Excel, Google Suites
Some experience in working with SQL experience working with ETL from a variety of sources including SQL, JSON, CSVÂ or willing to learn
Comfortable operating in a fast-growing, rapidly changing and dynamic organization with a self-governing, roll-up-your-sleeves culture.
RESPONSIBILITIES
Lead all technical aspects of data migration projects, ensuring accuracy, security, and on-time delivery across multiple simultaneous implementations.
Partner closely with the Onboarding and Customer Success teams to ensure customers receive clear, consistent, and timely communication regarding timelines, milestones, risks, and dependencies.
Provide detailed, high-level status updates to internal stakeholders and surface risks, blockers, or scope concerns early to ensure transparency and strong alignment.
Ensure all project stakeholders—internal and external—are informed and engaged by coordinating updates, distributing timelines, and confirming expectations throughout the implementation process.
Manage a portfolio of enterprise implementation projects, driving progress forward, executing against deliverables, resolving issues proactively, and maintaining accountability across all involved teams.
Develop strong, trusted relationships with customers by serving as the primary technical partner for all data migration and implementation-related needs.
Lead project prioritization across the import pipeline, determining resourcing, managing timelines, and ensuring focus on high-impact deliverables.
Establish and continuously refine best practices, QA processes, and repeatable workflows for data migration to ensure consistent execution and scalability.
Create, maintain, and manage detailed project plans, timelines, scope documents, and internal documentation to support a predictable implementation experience.
Track and report on key project KPIs, including migration accuracy, velocity, timelines, backlog, and deliverable completion, ensuring visibility for leadership and Customer Success.
Support scope and pricing proposals by clearly documenting effort, timelines, and required resources in collaboration with Customer Success.
Provide leadership, coaching, and development to the Import Team, ensuring accountability, capacity planning, quality, and continuous growth.
Conduct risk assessments for each project and develop mitigation plans to protect deadlines, customer outcomes, and internal resourcing.
Facilitate internal project standups, weekly syncs, and cross-team check-ins to maintain strong alignment and momentum across all active implementations.
Identify operational gaps, propose process improvements, and implement enhancements that drive efficiency, reduce errors, and elevate the overall implementation experience.
