Position Summary:
The Mailroom Document Processor supports daily mailroom operations by preparing incoming healthcare documents for scanning and indexing. You’ll operate basic mailroom equipment, sort and batch documents, and ensure materials are organized and ready for the scan team. This is a hands-on role that requires strong attendance, attention to detail, and comfort working on your feet.
Key Responsibilities:
Open and prepare incoming mail using mail openers and standard mailroom tools
Sort, classify, and batch documents by type for scanning workflow
Identify common document categories (training provided) and maintain accurate grouping
Perform document preparation tasks: remove staples/paper clips, align pages, organize sets
Transfer completed batches to scanning team following workflow and quality expectations
Maintain a clean, organized work area; follow HIPAA/security and confidentiality practices (as applicable)
Meet daily productivity targets while maintaining quality standards
Physical tasks include standing, walking, bending, and lifting up to ~50 lbs (one banker’s box)
Qualifications
Required:
High school diploma or GED
Reliable attendance and punctuality (this is a schedule-critical role)
Comfortable working in an office/operations environment
Ability to follow written instructions and repeatable processes (SOPs)
Preferred:
Experience in mailroom, document prep, scanning, records management, data entry, clerical operations, warehouse/production
Familiarity with copiers/scanners, document handling equipment, or production environments
Previous work in healthcare, insurance, or secure document environments
