Mail Operations Asst Manager – Tampa Branch
Job Type: Full-time - On Site (Tampa)
Schedule: Monday–Friday, 8:00 AM–4:30 PM (EST)
Pay: $19.00–$20.00/hour (DOE)
About the Role
We’re hiring a Mail Operations Asst Manager to support daily branch operations across mail processing, warehouse workflow, and driving routes. This is a hands-on leadership support role—perfect for someone who thrives in fast-paced setting, can keep a team on track, and understands the importance of accuracy, timeliness, and confidentiality.
This role supports healthcare-related document workflows, so familiarity with health insurance processes (claims, benefits, policies) and strong attention to detail are key. (ICD-9/ICD-10 exposure is a plus, not a deal-breaker.)
Key Responsibilities
Mailroom Operations & Team Support
Open, organize, sort, and research incoming mail and documents
Operate mailroom equipment (copiers, scanners, mail openers, labeling tools)
Set up equipment, load materials, clear jams, and resolve basic malfunctions
Ensure accurate identification and categorization of mail items
Oversee outgoing mail preparation (packaging, labeling, postage)
Provide guidance, training, and daily support to team members
Serve as backup to the Branch Manager as needed
Perform data entry and maintain accurate documentation
Act as point of contact for escalations and process issues
Identify improvement opportunities to reduce errors and increase efficiency
Ensure the team follows privacy, confidentiality, and company policies
Adhere to all Federal/State/Local guidelines and OSHA safety requirements
Driving / Route Coverage
Safely operate company vehicles (NV Van or Chevy Box Truck)
Pick up high-volume mail from PO Boxes throughout Tampa
Transport documents between:
Office: 10004 N Dale Mabry Hwy, Tampa, FL 33618
Warehouse: 6038 Jet Port Industrial Blvd, Tampa, FL 33634
Load/unload boxes at office and warehouse locations
Maintain delivery records and documentation
Perform basic vehicle safety checks and report issues
Warehouse Support
Unload, organize, and store banker boxes on shelving
Pull boxes for shred and dump documents into shred bins
Prepare documentation for onsite shredding
Maintain a clean and organized warehouse environment
Operate pallet jacks and use ladders to stack boxes on high shelving
Qualifications (Required)
High School Diploma or GED
Valid driver’s license with a clean driving record
2+ years' experience in one or more:
Health insurance / claims / billing / healthcare operations
Customer service or call center
Medical office or healthcare-related environment
Comfortable in a fast-paced environment with daily deadlines
Strong attention to detail and ability to follow process consistently
Basic computer skills (data entry, screen navigation, keyboarding)
Ability to lift and move items up to 60 lbs
Must pass a criminal background check
Preferred Qualifications
Claims processing or benefits/eligibility exposure
Familiarity with healthcare terminology (ICD-9/ICD-10 is a plus)
Mailroom, logistics, warehouse, or document handling experience
Strong client/customer interaction skills and professional communication
Proven ability to multitask while maintaining accuracy and quality
