The Logistics Planner is responsible for the day-to-day coordination and control of inbound logistics operations at site level.
This role ensures the accurate flow of goods, information, and documentation from suppliers through to receipt, maintaining control over shipment visibility, tagging, and issue resolution. The Logistics Planner acts as the central point for inbound execution, managing discrepancies, prioritising freight, and ensuring continuity of supply.
Working closely with the Logistics Manager, freight partners, and internal teams, the role ensures smooth and consistent inbound operations, with a strong focus on accuracy, responsiveness, and issue resolution, while supporting logistics performance analysis and cost visibility.
Key Responsibilities
Inbound Logistics Coordination
Coordinate all inbound shipments into site, ensuring clear visibility of status, priorities, and risks
Liaise with freight forwarders, carriers, and the Logistics Manager to maintain flow of goods and set priorities
Monitor inbound schedules and ensure readiness for receipt at site
Freight Tagging & System Control
Organise and oversee tagging of all inbound freight with vendor invoice number and shipment number, including multi-pass tagging where required
Manage EU & Asia invoice tagging and FRED creation
Ensure all inbound shipments are correctly recorded, tracked, and aligned between physical and system records
Inbound Issue Management
Act as the first point of contact for all inbound issues, inc: Quantity discrepancies, Price discrepancies, Incorrect or missing part numbers, Short, over, or incorrectly supplied parts
Investigate and resolve issues, working with Buyers and relevant teams as required
Ensure issues are clearly tracked, communicated, and closed
Discrepancy Resolution
Identify and resolve discrepancies between shipment, invoice, and system data
Work with Procurement/Buyers to validate and correct quantity and pricing issues
Ensure all corrections are accurately reflected in system and documentation
Cross-Functional Coordination
Work closely with Logistics Manager to escalate and resolve complex issues
Partner with DC Operations to ensure inbound accuracy and efficient receipt
Liaise with Supply Planning on inbound priorities and risks
Coordinate with Finance on invoice and cost discrepancies
Operational Support & Control
Maintain accurate tracking of inbound shipments, documentation, and status updates
Ensure inbound processes are followed consistently and support standardisation
Support continuous improvement of inbound processes, accuracy, and visibility
Logistics Analysis & Cost Support
Support the Logistics Manager in analysing logistics performance, cost drivers, and operational efficiency
Assist in tracking freight costs, accessorials, and shipment-level variances
Provide data and insights to support cost control, freight optimisation, and prioritisation decisions
Support development of reporting, tracking tools, and dashboards for inbound performance and cost visibility
Identify data inconsistencies or trends impacting cost or service and highlight for action
Skills & Qualifications
2-5 years’ experience in logistics, inbound operations, or supply chain
Strong attention to detail and ability to manage high volumes of transactional activity
Experience working with freight forwarders, carriers, and logistics documentation
Comfortable handling discrepancies across invoices, shipments, and system data
Strong organisational and problem-solving skills
Effective communicator with ability to work cross-functionally
Experience with ERP systems and Excel preferred
Experience in multi-SKU environments advantageous
