Job Type: Full-Time, Seasonal
Job Purpose: Our Local Specialists are at the heart of The Thinking Traveller experience. With excellent local knowledge and a passion for exceptional service, you’ll be the trusted on-the-ground expert for our clients and partners in your region. Supporting guests before and during their stay, you’ll coordinate arrivals, services and experiences, working closely with villa owners, in-villa teams and suppliers to ensure every stay runs seamlessly. You’ll proactively resolve issues, maintain high presentation and quality standards across our villas, and carry out regular checks and audits to ensure everything meets The Thinking Traveller’s expectations.
Reports To: Senior Local Manager
Working Partnerships: Local teams, operations, external suppliers, properties team, property owners and in-villa staff within your region(s)
JOB ACCOUNTABILITIES
Client Support
Maintain working relationships with owners and villa staff across all TTT properties in your designated area, ensuring communication is always professional and diplomatic
For designated villas, arrange client calls in advance of their stays to discuss and fine-tune their itinerary, experiences, and service, using TTT preferred suppliers only.
Meet clients on arrival for check‑ins where required; otherwise plan a visit within 48 hrs of arrival for designated villas.
Be available to answer calls or messages or meet with clients when required to resolve situations promptly and in the interests of TTT.
Be available to respond to client calls, messages or requests during stays, resolving issues promptly where possible.
Liaise closely with in‑villa teams to ensure alignment with TTT standards and client expectations.
Liaise with local providers where appropriate, to ensure that services booked are organised seamlessly.
Ensure Welcome Packs and toiletries are provided for designated villas where applicable.
Support hands‑on operational tasks such as arrivals coordination, hamper or wine deliveries.
Seasonal Preparation and Quality
Carry out quality checks before, during and after the season, identifying issues and opportunities for improvement.
Where trained, conduct Health & Safety audits in line with internal guidance.
Ensure properties are well prepared and fully functional prior to guest arrival, liaising with owners, caretakers and villa staff and visiting properties where needed.
With support from the Properties Team and Operations Specialist, help ensure all property information across systems, House Guides and the website is accurate and up to date.
Report any defects, risks or concerns promptly to your line manager.
Client Relations & Issue Management
Report any property damages to your line manager and assist with investigation and documentation.
Accurately record damages, incidents and complaints using required processes and follow through until resolution.
Monitor villas throughout the season for cleanliness, wear and tear and emerging issues.
Support clients and villa teams in resolving issues calmly and professionally, escalating to the Operations Specialist where required.
Record any issues/feedback/complaints/incidents in the required forms, with clear, complete and factual evidence, following up to ensure resolution to the clients’ satisfaction.
Assist with post‑stay client queries when needed.
Cross‑Team Support
Support in training trips for The Thinking Traveller team members.
Take an active role in sharing your expertise and local knowledge through regular updates to the wider teams.
Support the Properties Team to onboard new properties and keep them up to date with any changes to the existing properties.
Record and review your local expenses, ensuring all documentation is clear, complete and on time for the Finance team to process.
Demonstrate flexibility to travel within and between destinations as operationally required
PERSON SPECIFICATION
Fluent in the relevant regional language and English.
Confident, friendly and professional communicator with a love of travel.
Highly organised, detail‑focused and diplomatic.
Comfortable working independently and as part of a wider local team.
Calm, practical problem‑
Resident in the destination; driving licence and car where required.
Strong written communication skills and confident IT user (Outlook, Word, Excel).
Experience supporting high‑end clients preferred; luxury hospitality or villa management experience an advantage.
Adaptable and comfortable working in a seasonal, fast‑moving environment.
