This role is based in our Hoxton office.
We are looking for a proactive and detail-oriented Awards Materials & Trophies Coordinator to join our team. This role is pivotal in supporting the Awards Operations Partner in the lead-up to Cannes Lions, ensuring the smooth processing and organization of physical materials submitted for awards entries. During the event and immediately after, you will work closely with the Merchandise Executive, assisting with the onsite stores and ensuring awards are delivered to winners efficiently and on time.
Key Responsibilities
• Awards Entry Materials Management:
• Oversee the processing of physical materials submitted with Cannes Lions awards entries.
• Unbox, check, catalog, and organize entry materials with precision.
• Address customer queries related to awards materials when required.
• Logistics & Event Support:
• Lead physical and logistical tasks, including packing and transferring materials to Cannes, France.
• Assist with the logistics and organization of materials at the Palais de Festival, including the design exhibition.
• Support the onsite Trophy and Merchandise team during the festival, including running onsite shops and assisting with trophy and stage logistics.
• Post-Festival Coordination:
• Maintain accurate records of trophy and certificate orders and dispatch statuses.
• Communicate with customers regarding orders and delivery updates.
• Book couriers, monitor progress reports, and proactively flag any delivery issues.
• Print award certificates and prepare bespoke documents for recipients.
• Use a computerized system to manage trophy engravings and assist with batch trophy dispatch (July/August).
Please note: This list is not exhaustive, and additional responsibilities may be required as part of the role.
Skills & Experience
We are seeking a candidate with the following skills and experience to excel in the role of Awards Materials & Trophies Coordinator:
• Initiative & Self-Motivation: A proactive individual who can work independently and take ownership of tasks.
• Hands-On Approach: Comfortable with physical, hands-on work and logistical tasks.
• Technical Proficiency: Confident using Outlook, Microsoft OneDrive, and its suite of applications.
• Communication Excellence:• Ability to compose professional, articulate emails.
• Conducts business confidently and helpfully over the phone.
• Organizational Skills: Strong attention to detail and the ability to manage multiple tasks effectively.
• Time Management: Target-driven with the ability to prioritize workload and meet deadlines.
• Adaptability: Flexible and capable of undertaking varied ad hoc tasks as required.
• Teamwork & Leadership:• Able to take direction and work collaboratively within a team.
• Confident in stepping into a leadership role when needed; experience in managing a small team is highly desirable.
• Multitasking: Skilled at juggling multiple priorities and maintaining focus under pressure.
Additional Requirements
• Candidates must be available to work from our Hoxton office up to five days per week.
• Availability to travel to the Cannes Lions Festival in June 2026 is essential.
