ACCOUNTABLE FOR: Timely and accurate administrative support of legal workflows, document processing, and legal recordkeeping across all affiliated companies
CLASSIFICATION: Exempt – Independent Contractor / Vendor (Non-U.S., W-8BEN)
COMPENSATION RANGE: Ranges between $7 to $8 per hour

SUMMARY OF RESPONSIBILITIES
Enterprise Management Solutions is seeking a highly analytical, detail-oriented, and process-driven Licensing & Regulatory Compliance Paralegal to manage all aspects of licensing and regulatory compliance for Enterprise and its contracted client entities.
This role is responsible for the end-to-end lifecycle of licensing, including application preparation, regulatory coordination, submission (with CEO approval), monitoring, renewal, and compliance tracking across multiple jurisdictions and regulatory agencies.
The position plays a critical role in protecting the organization’s ability to operate by ensuring that all required licenses are obtained, maintained, and renewed in full compliance with applicable laws and regulations.
CORE RESPONSIBILITIES
1. Licensing & Application Management
Coordinate, compile, and prepare all licensing applications for submission to federal, state, and local regulatory agencies
Ensure all application materials are complete, accurate, and compliant with jurisdictional requirements
Maintain detailed knowledge of licensing requirements across multiple jurisdictions
Prepare application summaries and risk notes for executive review
Submit applications only after receiving documented CEO approval
2. Regulatory Communication & Agency Coordination
Serve as the primary point of contact for all licensing agencies
Handle inbound and outbound communications with regulatory bodies regarding:
Application submissions
Renewal processes
Requests for additional information
Status updates and compliance inquiries
Receive and manage calls from licensing agencies, ensuring:
Timely response and documentation
Immediate escalation of critical matters
Escalate all significant agency communications to the Program Director and notify the CEO as appropriate
Maintain professional, accurate, and compliant correspondence at all times
3. Monitoring & Compliance Oversight
Maintain a centralized licensing log/dashboard with real-time status updates for:
All applications
All active licenses
All renewal timelines
Monitor licensing status for:
Enterprise Management Solutions
All entities contracted with Enterprise for licensing services
Ensure continuous compliance with all regulatory requirements
Identify and proactively address risks, delays, or deficiencies
4. Renewal & Deadline Management
Track all license expiration dates across all entities
Initiate renewal processes no less than 90 days prior to expiration
Compile updated documentation and prepare renewal applications
Obtain CEO approval prior to submission of all renewal applications
Ensure zero lapses in licensing
5. Documentation & Recordkeeping
Maintain complete, organized, and audit-ready records of:
All applications
Agency correspondence
Approvals, denials, and conditions
CEO approvals for all submissions
Ensure all documentation is securely stored and easily accessible
Maintain version control and submission history
6. Client Licensing Support
Provide licensing coordination services to external entities contracted with Enterprise
Communicate with clients to gather required documentation and information
Ensure client compliance with regulatory requirements
Act as liaison between clients and regulatory agencies
7. Internal Coordination & Escalation
Work closely with:
CEO
Program Director
Legal team
Escalate all material issues, risks, delays, or regulatory concerns promptly
Provide clear, concise updates on licensing status and risks
Ensure alignment with operational and regulatory priorities

Ability to interact professionally with regulatory agencies

Governance & Control Requirements (Critical)
❗ No licensing application or renewal may be submitted without prior CEO approval
❗ All applications and licenses must be tracked in real time
❗ All renewals must be initiated at least 90 days prior to expiration
❗ All regulatory communications must be documented and escalated as required
❗ No lapse in licensing is acceptable
Additional Information
This position is part of the Legal Department and reports directly to the CEO
The role is mission-critical to maintaining operational compliance
The position requires strict adherence to regulatory timelines and internal controls
The individual in this role will serve as a key compliance safeguard for Enterprise and its client entities
LEVEL OF EDUCATION / TRAINING / QUALIFICATIONS
Juris Doctor (JD) strongly preferred, OR
Currently enrolled in a Juris Doctor (JD) program (required if JD not yet obtained)
Bachelor’s Degree required (Legal Studies or related field preferred)
Minimum 2+ years of experience in:
Legal support
Regulatory compliance
Licensing or administrative law
