Role Objective:
The Legal Filing Specialist is responsible for the end-to-end preparation, quality review, processing, and mailing of immigration filing packets. This position serves as the subject matter resource on immigration form requirements and filing compliance, functioning as a critical quality control checkpoint before filings are submitted to USCIS or EOIR. The Specialist applies working knowledge of immigration forms, evidence standards, and filing requirements to identify deficiencies and ensure every packet that leaves the office is accurate, complete, and submission ready. This role works in close coordination with the legal team and requires a high degree of professional judgment, attention to detail, and knowledge of immigration filing procedures.
Responsibilities and Duties:
Filing Preparation & Assembly
Prints client filings in preparation for assembly.
Pulls required client documents housed at the Glendale office.
Pulls attorney signature forms associated with each filing.
Assembles complete filing packets using client documents and attorney signature forms.
Prints photos and credit card authorization forms as required.
Assembles final filings with prongs in preparation for outbound mail.
Quality Control & Filing Compliance
Reviews each filing for accuracy and completeness prior to submission, including checking for missing pages, misprints, incorrect form versions, outdated editions, and assembly errors.
Applies working knowledge of USCIS and EOIR filing requirements, form instructions, filing fees, and evidence standards to identify potential deficiencies, incomplete evidence, or form errors that could result in rejection or RFE.
Serves as the point of escalation for filing questions from support staff prior to legal team review.
Communicates with the legal team to report and coordinate resolution of any identified corrections prior to mailing.
Coordinates with the paralegal team and designated translation team member to obtain all required signatures prior to mailing.
Records Management, Scanning & Mailing
Creates accurate shipping and filing labels for each packet.
Scans completed filings with labels for firm records.
Uploads scanned filings to the appropriate client case in the firm's case management system and record the associated tracking number.
Mails completed filings in accordance with firm standards and established deadlines.
Maintains confidentiality of all client documents and sensitive information in accordance with firm policies.
Performs other duties as assigned by the supervisor or manager.
Requirements:
2–4 years of immigration paralegal or legal support experience with direct exposure to packet preparation and filing review required.
Demonstrated knowledge of USCIS and EOIR filing requirements, including form instructions, filing fees, evidence standards, and RFE implications.
Familiarity with common immigration form types including but not limited to I-485, I-130, I-589, and EOIR filings; ability to identify incorrect form versions or missing components.
Meticulous attention to detail with a high degree of accuracy in document handling, review, and assembly.
Strong organizational skills with the ability to manage multiple filings simultaneously in a deadline-driven environment.
Effective written and verbal communication skills with the ability to collaborate across legal and administrative teams.
Proficiency in Microsoft Office Suite; experience with Filevine or similar legal case management systems preferred.
Ability to maintain strict confidentiality and exercise sound professional discretion.
Must be available to work in-office at the Glendale, AZ location.
