Role Objective:
The Legal Filing & Mailing Clerk plays a critical role in ensuring that immigration filings are assembled, reviewed, processed, and mailed with precision and timeliness. Working in our Glendale office, this position is responsible for the end-to-end preparation and physical handling of client filings
from printing and assembly through quality review, scanning, uploading to our case management system, and mailing. Accuracy and attention to detail are essential, as errors in this role can directly impact client cases.
Responsibilities/Duties:
Print client filings in preparation for assembly.
Pull required client documents housed at the Glendale office.
Pull attorney signature forms associated with each filing.
Assemble complete filing packets using client documents and signature forms.
Review each filing for accuracy and completeness checking for missing pages, misprints, or errors prior to submission.
Communicate with the legal team to flag and coordinate corrections when needed.
Print photos and credit card authorization forms as required for specific filings.
Coordinate with the paralegal team to obtain required paralegal signatures.
Coordinate with the designated team member for translation signature sign-off when applicable.
Create shipping and filing labels for each packet.
Scan the completed filing with its label for the firm's records.
Upload scanned filings to the correct client case in Filevine and log the associated tracking number.
Assemble the final filing with prongs and prepare for outbound mail.
Mail filings in accordance with firm standards and deadlines.
Maintain confidentiality of all client documents and sensitive information.
Perform other duties as assigned by the supervisor or manager.
Requirements:
Detail-oriented and reliable with a zero-tolerance approach to errors in document handling.
Ability to maintain strict confidentiality and use sound discretion.
Strong organizational skills with the ability to manage multiple filings simultaneously.
Proficiency in Microsoft Office Suite and Google products; experience with Filevine or similar legal case management systems a plus.
Excellent communication skills - ability to collaborate with paralegals, attorneys, and administrative staff.
Prior experience in a legal, administrative, or document-processing environment preferred.
Bilingual in English/Spanish preferred but not required.
Must be able to work in-office at our Glendale location.
Compensation & Benefits:
$18 - $20 hourly.
