About the Role
Legal Assistants play a central role in maintaining the accuracy, responsiveness, and day-to-day progress of subrogation cases. You will handle core administrative tasks, manage inbound and outbound communications and ensure each case is complete and ready for attorney or paralegal action as it approaches settlement.
This role is the first line of responsiveness within each pod supporting attorneys, and Senior Paralegals by keeping information current, communicating with outside parties, and maintaining organized, well-documented case files.
Responsibilities:
Manage all administrative needs tied to cases prior to settlement
Answer inbound calls and emails related to case inquiries, documentation, and lien requests
Respond promptly and professionally to attorneys, adjusters, claim representatives, and other external parties
Send lien update notices, confirm receipt of liens, and follow-up on missing or pending information
Prepare and organize documents so that Senior Paralegals and Attorneys have what they need to move cases forward
Identify and escalate case concerns or significant changes to Sr Paralegal
Maintain clear, complete case notes and communication logs
Support the pod’s responsiveness standards and contribute to a consistent client experience
Coordinate with Senior Paralegals to identify any file gaps or follow-ups needed prior to negotiation or settlement
Ensure that funds are received in a timely manner
Qualifications:
Associates degree, bachelor’s degree preferred or industry equivalent experience (4 years)
Proven experience working in subrogation, personal injury, insurance claims, workers compensation or related industry
Strong organizational skills and comfort managing a high volume of administrative tasks
Excellent written and verbal communication abilities
A professional, service-oriented approach when interacting with attorneys and external stakeholders
Ability to prioritize multiple requests and respond quickly in a fast-paced environment
Attention to detail and accuracy when handling documents and case information
A proactive mindset, you anticipate needs, spot gaps, and keep the team informed
Prior experience in legal, insurance, claims, or administrative operations is helpful but not required
