About the Role
We are seeking a highly organized, detail-oriented Legal Administrative Assistant to provide comprehensive support to our attorneys and help maintain the operational flow of our firm. You will be the backbone of our administrative processes—managing everything from case files and complex calendaring to client invoicing and vendor relations.
The ideal candidate thrives in a fast-paced environment, maintains strict confidentiality, and has a proven track record of supporting legal professionals.
Key Responsibilities
Attorney & Case Support
File Management: Create, organize, and maintain client files across all case management systems; ensure electronic files are properly labeled and records are retained according to firm policy.
Calendar Mastery: Create calendar invites, monitor deadlines, audit schedules, and assist with attorney travel arrangements.
Task Management: Document meeting notes, track actionable items, and manage the firm’s task management system to ensure timely follow-through.
Data Entry: Input accurate information into case management databases and perform basic record-keeping.
Client & Administrative Interaction
Client Relations: Professional handling of invoicing, file sharing, and answering/directing phone calls.
Intake: Perform brief initial intakes for potential clients and new cases when required.
Financial Admin: Enter firm and client expenses; assist with billing, time-keeping, and following up on outstanding invoices.
Office Operations: Coordinate with vendors (mail, packages, couriers), file incoming mail, and implement process improvements for more efficient workflows.
Required Skills & Qualifications
Experience: Previous experience working with attorneys in a law firm environment is required.
Communication: Exceptional written and verbal communication skills; fluent in English.
Technical Proficiency: * Expertise in Microsoft Office (Word, Teams, OneDrive, Excel, Planner).
Familiarity with QuickBooks and basic bookkeeping.
Ability to conduct effective research via Google.
Soft Skills: High-level accuracy, strong analytical problem-solving, and the ability to remain professional and courteous under pressure.
Reliability: Proven ability to meet deadlines and work independently in a remote setting.
Equipment: Must have a dedicated home office setup with a reliable computer and high-speed internet.
Preferred Qualifications
Familiarity with Clio (Case Management Software).
Experience using Westlaw for legal research.
A "quick study" mentality—able to learn and master new software tools rapidly.
