Job Title: Remote Business & Transactional Paralegal

Job Type: Independent Contractor | Part-Time (20 hours per week initially, with potential to transition to Full-Time)

About the Role:

A detail-oriented and proactive Paralegal & Legal Administrative Assistant is needed to support a solo legal practitioner with a combination of administrative, operational, and legal support tasks.

The role focuses on assisting with business transactional matters, document preparation, client intake processes, and general law practice operations. The assistant will help organize legal documents, manage case files, prepare engagement letters, and assist with administrative workflows that support the day-to-day functioning of the practice.

This role also involves helping streamline internal systems such as CRM management and document organization to improve efficiency and maintain clear workflows within the legal practice.

The ideal candidate is highly organized, adaptable, and comfortable learning new tools and processes while supporting a fast-moving solo legal practice. The role requires someone who is teachable, open to feedback, and willing to adapt to the attorney’s preferred workflows and systems as the practice evolves.

Key Responsibilities:

Legal Document Preparation & Drafting

Assist with drafting legal documents, letters, and agreements based on templates and attorney instructions.

Prepare engagement letters and client documentation using existing document libraries.

Compile and organize contracts, leases, and transactional legal documents.

Ensure legal documents and exhibits are properly formatted and organized for review.

Case & Client File Management

Create and organize digital client files and case folders.

Maintain accurate documentation within the case management system.

Ensure legal documents, client records, and supporting materials are properly stored and accessible.

Assist with tracking case progress, documentation updates, and legal filing preparation.

Client Intake & Administrative Support

Support new client intake processes including setting up client records in the case management system.

Organize client contact information and case details.

Assist with preparing and sending engagement documentation to clients.

Provide administrative support to maintain organized internal workflows.

CRM & Practice Operations Support

Assist with managing and updating CRM records (HubSpot).

Organize client contacts and maintain relationship records.

Help maintain CRM data accuracy and support workflow organization.

Assist with organizing internal processes that support business development activities.

Legal Operations & Workflow Coordination

Support administrative workflows related to legal matters and business operations.

Help maintain document libraries and template systems for legal correspondence.

Coordinate document signatures using tools such as DocuSign.

Assist with organizing information across legal platforms and practice management systems.

Qualifications & Ideal Traits:

Previous experience as a paralegal or legal assistant supporting legal professionals.

Strong written and verbal English communication skills.

Experience preparing legal documents and correspondence.

Highly organized with strong attention to detail.

Comfortable working with legal templates and document libraries.

Familiarity with CRM systems such as HubSpot is a plus.

Experience using legal or office platforms such as Microsoft Office, DocuSign, or case management systems is preferred.

Ability to learn new systems and processes quickly.

Teachable mindset with a willingness to learn, accept feedback, and adapt quickly to new processes, tools, and legal workflows.

Comfortable working independently in a remote environment.

Working Environment:

Fully remote role supporting a U.S.-based solo legal practice.

Part-time schedule initially (approximately 20 hours per week) with potential to increase to full-time.

Work hours aligned with U.S. business hours (late morning to early afternoon Eastern Time preferred).

Collaborative working relationship with the attorney to support daily legal operations.
