Ruby's Place dba Restorative Pathways (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, substance recovery, and wrap-around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. All programs are low barrier.

What qualifications are required for this position?

Bachelor’s degree in social work, human services, or related field preferred; equivalent experience may be considered.
Minimum of three years of experience providing case management services to individuals experiencing homelessness or housing instability.
Experience leading, mentoring, or supporting case management teams preferred.
Strong knowledge of HMIS and case management documentation requirements.
Experience working with diverse populations and individuals with complex needs.
Strong organizational, leadership, and communication skills.
Preferred Qualifications
Experience working in shelter, residential, or housing programs.
Knowledge of trauma-informed care, harm reduction, and housing-first approaches.
Experience supporting program compliance and quality assurance efforts.
In possession of a valid CA driver's license, proof of insurance, and be approved by RP insurance as a driver in order to drive agency vehicles. If a staff member cannot be approved by RP insurance as a driver, employment might not be able to continue. Instances where staff cannot be approved to drive will be reviewed on a case by case basis to determine if employment can continue in their role without driving agency vehicles. Items considered include but are not limited to: the shift the staff member holds and the frequency/necessity of driving during that shift, the amount of time before the staff member may be approved to drive by the insurance carrier, the availability of other staff on site to drive agency vehicles as program needs require, etc.
Able to complete all required background checks. Additional requirements may be deemed necessary, including fingerprinting (Live Scan), completion of all Community Care Licensing (CCL) documents, and ability to meet CCL licensing requirements.
What You Will Do
The Lead Case Manager provides leadership, guidance, and support to the case management team while also maintaining an active caseload to ensure high-quality, participant-centered services are consistently delivered in alignment with organizational standards and program goals. This role supports the coordination of case management services, monitors documentation and service quality, and helps ensure participants are connected to appropriate resources and housing opportunities. The Lead Case Manager serves as a key support to the case management team by providing coaching, case consultation, and oversight of documentation practices, including HMIS data entry and compliance requirements. In addition to supporting staff, this position provides direct case management services to participants and models effective engagement, documentation, and service coordination practices.
The ideal candidate has strong case management experience, advanced knowledge of HMIS and documentation practices, and experience working with diverse populations experiencing homelessness, housing instability, trauma, or other complex challenges.
Responsibilities include
Case Management Leadership and Support
Provide day-to-day leadership, guidance, and support to the case management team.
Support case managers in maintaining high-quality, participant-centered service delivery.
Assist with case consultations, problem-solving, and coordination of participant services.
Promote consistency in service delivery practices across the case management team.
Direct Case Management Services
Maintain and manage an active caseload of participants.
Conduct assessments, develop service plans, and provide ongoing case management support.
Support participants in accessing housing resources, benefits, healthcare, employment services, and other supportive resources.
Assist participants in identifying and addressing barriers to housing stability and self-sufficiency.
Quality Assurance and Documentation Oversight
Monitor case management documentation to ensure compliance with agency standards, funder requirements, and best practices.
Review case notes, assessments, service plans, and participant records for quality and completeness.
Support ongoing improvement of documentation practices and service delivery standards.
HMIS and Data Management
Ensure timely and accurate HMIS data entry and maintenance of participant records.
Provide support and guidance to staff regarding HMIS usage, documentation expectations, and reporting practices.
Work collaboratively with leadership to address data quality concerns and reporting needs.
Training and Staff Development
Support onboarding and training of new case management staff.
Provide coaching and mentorship to strengthen staff skills and knowledge.
Promote trauma-informed, culturally responsive, and participant-centered approaches to service delivery.
Collaboration and Communication
Work closely with program leadership and multidisciplinary teams to coordinate participant care and service delivery.
Participate in team meetings, case conferencing, and program planning discussions.
Maintain effective communication with internal departments and external service providers.
Complete functional timesheets by assigned due dates in compliance with time allocations.
Actively participate in reflective supervision sessions.
Create and maintain documentation of processes and procedures related to job duties.
Other duties as assigned.
Working Conditions
This position requires regular on-site presence and collaboration with participants, staff, and community partners. The Lead Case Manager must be able to balance responsibilities with direct service provision in a fast-paced environment while maintaining strong attention to service quality and documentation standards.You must be able to stand for long periods of time and perform physical activities, including lifting up to 25 pounds. You will be subject to frequent interruptions and must be able to multitask and handle stress.
Local travel in the greater Bay Area may be required.

The pay for this role is $35 per hour (non-exempt).
