Position: Law Firm Receptionist
Salary: PHP85,000-PHP148,000/month
Work Schedule: 8:00AM - 5:00PM AEST
OVERVIEW:
The client is looking for a highly organized and proactive Receptionist with Paralegal experience to join their law firm. This hybrid role combines front-of-house reception duties with hands-on legal support, ensuring smooth client management, accurate documentation, and effective communication across the firm.
The ideal candidate will be detail-oriented, able to manage multiple priorities, and capable of taking ownership of client interactions from initial contact to follow-up, allowing the principal lawyer to focus on delivering high-quality legal services.
RESPONSIBILITIES:
Reception & Client Management
• Serve as the first point of contact for clients, answering calls and emails professionally.
• Schedule client meetings efficiently using the firm’s retainer system, without requiring the principal lawyer to take the call directly.
• Qualify potential new clients to assess if they meet the firm’s criteria for engagement.
• Maintain accurate client records and follow-up schedules.
Paralegal Support
• Draft Wills, contracts, and other legal documents primarily in Wills & Estates.
• Manage client communication regarding document updates, queries, and follow-ups.
Financial Administration
• Generate and issue invoices accurately and timely.
• Collect payments and manage debtor follow-ups, ensuring outstanding invoices are addressed promptly.
Tools & Systems
• Proficient in using Smoke Ball and Calendly.
• Schedule and manage appointments.
Requirements:
QUALIFICATIONS:
• 3-5 years of proven experience as a law firm receptionist or administrative professional with paralegal duties.
• Proficiency in conveyancing platforms, including Smokeball, LEAP, or equivalent tools.
• Strong knowledge of Wills & Estates processes; conveyancing experience is highly preferred.
• Exceptional attention to detail and ability to handle sensitive legal information confidentially.
• Excellent communication skills, both written and verbal.
• Ability to manage competing priorities and maintain professionalism under pressure.
• Someone who can take initiative and work independently, minimizing the need for constant supervision.
• A meticulous and organized professional who ensures tasks are completed accurately and efficiently.
• A receptionist who understands the importance of managing client calls and meetings properly—scheduling appointments rather than immediately handing the client to the principal lawyer.
• A proactive problem solver who contributes to the smooth running of the firm.
