About the K.ATS Practice Operations Coordinator Role
We seek a self-driven individual to join us as our K.ATS Practice Ops Coordinator supporting the leadership of Keystone’s Advanced Technology Services (K.ATS), a pivotal Center of Excellence at Keystone.
Keystone has grown substantially each year, and this position is critical to our continued growth as a firm that delivers uncommon service and transformative ideas. You will work directly with the leadership of the firm to creatively solve problems and foster our company’s culture. In this role, you will develop a deep understanding of the working styles of the leadership and provide strategic support in managing projects, priorities and workflows in a fast-paced, high volume, and ever-changing client service environment. This role is ideal for someone who has strong business acumen, is well organized, and can manage multiple projects and stakeholders simultaneously. This role will report to Min Shin, Sr. Director of Practice Operations.
Key Responsibilities
Executive & Practice Operations Support
• Provide administrative and operational support to K.ATS leadership, enabling effective day-to-day execution across the practice
• Act as a central point of contact across K.ATS leadership, Foundry groups, and broader firm stakeholders to ensure alignment and follow-through
• Manage timelines, scheduling, meeting notes, and follow-up tracking for K.ATS operations working groups that are responsible for scaling the center of excellence
• Own the ongoing management of K.ATS KPI dashboards, ensuring data accuracy, timely updates, and clear reporting to leadership; proactively surface insights and flag trends, risks, or performance gaps
Meeting & Calendar Management
• Own end-to-end scheduling and calendar management for K.ATS and Foundry meetings, including weekly, monthly, and leadership forums
• Create, manage, and maintain meeting invitations, agendas, materials, and logistics; proactively adjust invites in response to conflicts or changes in availability
• Ensure consistency and accuracy across all recurring meetings, including cadence, attendees, and documentation
Offsites & Events
• Plan and coordinate team offsites and in-person events, including agenda planning, logistics, vendor coordination, and on-site execution
• Manage timelines, materials, and post-event follow-ups to ensure events run smoothly and deliver on intended objectives
Special Initiatives & Internal Engagement
• Support special initiatives led by K.ATS leadership, including employee gifting, recognition programs, and internal brand-building efforts
• Own ordering and inventory management for K.ATS marketing and branded materials
• Manage timelines, materials, and post-event follow ups to ensure events run smoothly and deliver on intended objectives
Tools & Systems Management
• Support and maintain K.ATS staffing and capacity planning tools, including Float
• Create, maintain, and manage internal databases containing employee and practice-related information, ensuring data accuracy and usability
• Manage ad-hoc leadership requests and coordinate with operations, finance, and IT as needed
What You’ll Bring
• 1+ year of experience in a highly operational or coordination-heavy role
• Enthusiastic, team-player who is willing to dive in head-first in a fast-paced environment at a growing firm
• Natural collaborator, people-person, and effective communicator
• Ability to work independently and provide guidance to executive level management across all operational and practice areas
• Extensive knowledge of Microsoft Office suite; basic knowledge or experience with Customer Relationship Databases and Resource Management/scheduling tools; experience with Salesforce is preferred
• Excellent written/verbal communication, analytical, problem identification and resolution skills
• Ability to handle ad-hoc projects as business requirements emerge and evolve
• High professional and ethical standards for handling confidential and sensitive information
• Excellent multi-tasker - organized and deadline oriented and experience with project management a plus
In addition to annual salary, we provide an annual discretionary bonus, 401k contribution, and competitive benefits package. Actual Compensation within the range will depend upon the level the individual is hired into based on their skills, experience, and qualifications.
Annual Salary Range
$60,000—$80,000 USD
