The Role
The Junior Health & Safety Coordinator provides administrative and coordination support to the Health & Safety team to help maintain compliance with legislative requirements, COR certification standards, and internal safety programs. This role supports the execution of safety initiatives led by the Health & Safety Manager by maintaining documentation, coordinating training and compliance activities, and assisting with reporting and program administration.

Keys Tasks
The Junior Health & Safety Coordinator’s responsibilities include, but are not limited to:
Program & Administrative Support
Maintain organized health & safety documentation, records, and forms in alignment with the Health & Safety Management System (HSMS)
Support document control activities related to COR certification, audits, and program updates
Assist with maintaining safety manuals, templates, and internal tracking tools
Provide administrative support for safety calendar activities, reporting, and compliance tracking
Field Coordination & Compliance Support
Assist with tracking inspections, hazard assessments, toolbox talks, and corrective actions
Support preparation of audit materials, reports, and follow-up documentation
Assist with incident reporting administration and data entry
Shadow the Health & Safety Coordinator during site visits and safety meetings to build field knowledge
Support coordination of first aid kits, safety resources, and project safety documentation
Training & Safety Records Administration
Track safety training requirements, certifications, and renewal timelines
Maintain training matrices and employee safety records
Support onboarding safety documentation and follow-up with supervisors regarding outstanding requirements
Assist with preparation of orientation materials and training records
Alternate Company Security Officer (ACSO) Responsibilities
Act as an Alternate Company Security Officer (ACSO) under the Government of Canada Contract Security Program (CSP), supporting the Company Security Officer (CSO)
Assist with preparation, submission, and tracking of personnel security clearance applications and renewals
Maintain confidential clearance records and monitor expiry timelines
Support onboarding, offboarding, and audits related to security clearances and secured site access
Reporting & Continuous Improvement Support
Maintain safety data within internal systems and spreadsheets
Assist with preparation of KPI dashboards, safety reports, and meeting materials
Support continuous improvement initiatives within the health & safety program
Education
Diploma or certificate in Occupational Health & Safety or a related field
Ability to obtain and maintain eligibility as an Alternate Company Security Officer (ACSO)
Working at Heights certification considered an asset
Valid driver’s license with the ability to travel to job sites as required
Desire to work towards NCSO certification considered an asset
Experience
Up to two (2) years of experience in an administrative, coordination, or safety-related role considered an asset
Exposure to construction, industrial, or regulated environments is an asset
Knowledge and Technical Skills
Working knowledge of Microsoft Office (Excel, Word, Outlook)
Familiarity with document control practices and record management
Basic understanding of construction health & safety principles considered an asset
Experience with digital safety management systems (e.g., eCompliance) considered an asset

Willingness to learn and develop within a construction safety environment

Physical and Environmental Requirements:
Ability to move equipment or materials weighing up to 30 pounds.
Regular walking, standing, climbing stairs, bending, crouching, and lifting.
Ability to work in noisy environments and varying weather conditions.
Exposure to active construction sites and office/shop environments.
Ability to stand and walk for extended periods.
Travel to job sites within the Ottawa region.
