As part of our growing operations, we are looking for a reliable and organized Junior Back Office Secretary to support the administrative and reception functions at our Group headquarters in Piraeus. This role is ideal for someone at an early stage in their career who is looking to build experience in a corporate environment.
Role Overview
The Junior Back Office Secretary supports the smooth day-to-day operation of the headquarters by assisting with communication, administrative tasks, and visitor coordination. The role requires attention to detail, a positive attitude, and a willingness to learn and grow within a professional setting.
Key Responsibilities
1. Communication & Call Management
• Manage incoming calls and emails, directing them to the appropriate departments
• Take and relay accurate messages when needed
• Follow up on pending communication to ensure timely responses
2. Front Desk & Visitor Coordination
• Welcome and assist visitors in a professional and courteous manner
• Coordinate meetings and visits with internal teams
• Support courier and delivery handling in collaboration with reception and security
3. Mail & Document Administration
• Handle incoming and outgoing correspondence
• Maintain organized digital and physical filing systems
• Assist with document distribution across departments
4. Basic Executive Support
• Provide ad-hoc administrative support to the Chairman’s Office when required
• Assist with simple tasks such as printing, scanning, and updating contact lists
• Handle sensitive information with confidentiality
5. Office Operations Support
• Maintain an organized and presentable reception area
• Monitor basic office supplies and shared equipment
• Support day-to-day operational needs with flexibility
Requirements
Professional Experience
• 2–3 years of experience in an administrative, back office, or receptionist role
• Previous exposure to a corporate environment will be considered an asset
Education
• Diploma or degree in Business Administration, Secretarial Studies, or a related field
Languages & Technical Skills
• Excellent command of Greek and English (written and verbal)
• Good command of Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Familiarity with office equipment and digital filing systems
