Summary: This role sits within a team focused on the day-to-day activity needed to ensure the UCITS, AIFs and other fund structures Waystone manages the obtaining and retaining appropriate marketing permissions globally.
The role requires you to interact with regulators, particularly the CBI & CSSF, as well as to work closely with colleagues and service providers across functional and geographic boundaries to implement and maintain fund registrations for a diverse range of clients. Broadly, you will be:
Managing autonomously the fund registration process in various countries
Maintaining fund authorisation in different target markets
Ensuring that funds comply with all ongoing regulatory reporting obligations, including prospectus updates, new product launches, KIIDs and financial statement submissions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Registration/notification filing preparation:
Collation of fund documents
Coordinating document translations with relevant internal & external parties
Completion of regulator notification letters
Filing/applying for fund registrations, private placements and NPPR requests with home and ‘host’ regulators globally
Working with local agents to update existing agreements as funds are added/removed from relevant jurisdictions
Maintaining a fund’s permissions on an ongoing basis, and to agreed timelines, through
filing updated fund documentation and financial reports with national regulators in the registration jurisdictions
notifying regulators of all notifiable events, (new share classes, deregistered share classes, mergers, name changes, closed funds etc.)
Point of contact for any questions or document requests relating to passporting activity from:
national regulators
local agents
colleagues
Liaising with Legal & Compliance to maintain awareness of upcoming changes of local legislation that may affect the status or reporting requirements of funds marketed in those jurisdictions.
Work collaboratively with team to ensure process and procedure is documented and standardised where possible.
Maintaining records within Salesforce on fund marketing registrations, private placements, and private placements across the Waystone Group
Quarterly board reporting on fund status, including confirming compliance with local requirements
Client query response
Identifying & implementing enhancements to support longer-term business growth.
Education:
Third level, minimum B.A. degree
Experience:
Excellent oral and written communication skills in English
Strong attention to detail.
A working knowledge of another European language would be a plus.
Excellent organisational skills – an ability to prioritise multiple tasks concurrently while maintaining attention to detail.

Minimum B.A. degree
Solid computer skills particularly in Salesforce, or similar CRM system, Excel, and PowerPoint.
