IT Vendor Governance Role:
The Vendor Governance team within IT Vendor Performance and Outsourcing Management (VPOM) is responsible for governing the contractual relationships of State Street IT Strategic Outsource partners to ensure contractual obligations are met.
The position spans IT Vendor Invoicing Validation & Financial Management, Contractual Service Level Management and General Governance.
Key Responsibilities
1. Vendor Invoice Validation & Financial Management
• Maintain and track relevant data related to the financial management governance processes such as invoices, financial forecasts and related reports.
• Review and validate invoices against billing point of reference; communicate with Service Delivery to ensure invoice approvals are in place.
• Track accuracy of vendor invoices against contractual billing accuracy SLA; maintain supporting data.
• Work closely with various stakeholders, vendors, finance team and AP team to address any issues related to invoices and payment.
2. Vendor Service Level & Performance Management
• Maintain and track all data related to contractual Service Level Agreements (SLAs).
• Ensure service levels are accurately reported, validated, and delivered on schedule.
• Interface with IT Service Delivery and Vendor Governance teams for SLA approvals.
• Track and verify vendor performance credits; ensure credits are accurately received.
• Conduct stakeholder satisfaction surveys with senior IT management; calculate, summarize, and communicate results. Maintain and track relevant data related to the contractual Service Levels.
• Work closely with various stakeholders and vendors to address any issues related to SLAs.
3. Vendor Governance Operations
• Maintain and track relevant data related to the Contract Deliverables, Program Risk, Program Issues, Formal Communications, Risk Letters and other general vendor governance processes.
• Ensure Program Risks, Issues and Formal Communications is acknowledged on time and accurately and moves them along through their lifecycle.
• Maintain repository of vendor contract documents, Contract Changes documents, SOPs and vendor governance meeting minutes, etc.
• Follow internal approval process review and update process documentation when necessary
• Review relevant reports and documents for accuracy and completeness; perform quality assurance checks.
• Work closely with various stakeholders to ensure adherence to and enhancement of vendor management practices and policies
• Central oversight and administration of IT Third Party services including performance
We are looking for an individual contributor for the functions above with a strong attention to detail initiative for solving problems. The candidate should have experience in financial management, IT business analysis, relationship management, and data analysis.
Qualifications:
• 5+ years job related/industry experience is required
• Financial background is required
• Skilled with MS Excel, MS PowerPoint
• Excellent analytical, communication, presentation, and writing skills
• Superior attention to detail
• Strong relationship management skills; Forms strong alliances
• Comfortable challenging or expressing opinions in a professional manner
• Makes compelling cases using accurate data
• Adapts to change, shifting priorities and roadblocks with grace and ease
• Persistent and professional
• Hands-on experience with Power BI and Power Automate is considered a plus
• Knowledge of ITIL principles and process is a plus
