Responsibilities / Tasks
We are seeking a data-driven, detail-oriented, and technically versatile Internal Sales Project & Import Co-ordinator to play a key behind-the-scenes role supporting our Projects and Internal Sales teams.
The successful candidate will have working knowledge of Microsoft Excel and SAP, along with the ability to manage multiple administrative and data-focused processes with accuracy and consistency.
Internal Sales – Project Support
• Administer and ensure data accuracy, usability, and alignment with GEA project processes and governance
• Lead the maintenance of the Project Tracker
• Liaise with the Projects Team regarding project administration requirements
• Ensure required authorisations are in place before proceeding with any project amendments within SAP
• Ensure project milestones are achieved
• Support the development and refinement of documentation and processes to ensure project accuracy and transparency throughout the full project lifecycle
Internal Sales – Import/Export Support
• Administer and ensure accuracy and alignment with GEA and HMRC processes and governance
• Lead the maintenance of the Import/Export Tracker
• Ensure Import and Export documentation governance and procedures are followed
• Manage RGA collection and export documentation
• Liaise with the Internal Service Sales Team regarding import/export administration requirements
• Process import/export-related purchase invoices for payment
• Manage import/export-related purchase invoice authorisation
• Provide bank holiday and Christmas cover on a rota basis
Internal Sales – Forecasting Support
• Support the Finance team in forecasting expected monthly revenue and GM% for open and live projects
General Responsibilities
• Ensure all activities are carried out in accordance with the company handbook (including Health & Safety) and the GEA Code of Compliance
• Provide holiday cover for the Internal New Machinery Sales and Import/Export Teams
• Provide support to other team members as required
• Undertake ad hoc duties as required to meet company needs
Your Profile / Qualifications
• Minimum GCSE (or equivalent) level education
• Strong Microsoft Office skills are essential
• Demonstrable experience or training in office administration is essential
• Minimum of 2 years’ experience in a similar role is required
• SAP experience or background is desirable
Technical & Systems Skills
• Strong IT skills, including effective use of:
• Outlook
• Microsoft Teams (online meetings – internal and external)
• Excel (costings, reporting and analysis)
• PowerPoint (presentations)
Communication & Working Style
• Proficiency in communicating effectively via telephone, email and teleconference, including supporting predominantly remote teams
• Proactive, self-motivated, and able to take initiative with a strong willingness to learn
• Comfortable working within an agile-based working environment
