Job Description
The primary responsibility of the Inventory Specialist is to develop and execute protocols to maintain accurate inventory records, ensure proper stock levels, and audit purchase orders to support efficient procurement and supply chain operations. This role plays a critical part in safeguarding data integrity and optimizing inventory management processes.
The selected candidate will help shape this evolving role, learn the Yellow Dog system, and often work independently. We seek someone intuitive, creative, and resilient to handle the challenges of developing a new position.

This is a FT position, likely Mon - Fri; however, there may be times when weekend/holidays are required along with early a.m. or late p.m. hours are required, i.e. end of year counts, quarterly counts.
Essential Job Functions:
Assist management and department heads in developing and implementing inventory control procedures and best practices for both guest-consumable and non-guest consumable products.
Maintain and update inventory records in the company’s inventory management system and coordinate with accounting to ensure timely and accurate reporting into accounting systems.
Monitor stock levels and coordinate with the procurement manager and department leadership to prevent shortages or overstock situations.
Conduct cycle counts and regular full physical inventory processes with cooperation of department members and leaders.
Maintain primary responsibility for Inventory Management software systems and electronic records
Reconcile discrepancies between physical inventory and system records.
Prepare and present inventory reports for management review.
Collaborate with internal teams to resolve inventory-related issues promptly.
Conduct regular audits of purchase orders to ensure accuracy and compliance with procurement policies.
In conjunction with Senior Managers and department heads, develop protocols to monitor and maintain inventory records for non-guest consumable supplies, such as housekeeping supplies, maintenance supplies, pool chemicals, etc.
Education/Experience:
High school diploma or equivalent
Associate degree or certification in supply chain or inventory management preferred.

Ability to work independently with guidance but limited supervision from management
Excellent interpersonal skills with the ability to manage sensitive and confidential information.
Effective organizational and time management skills
Ability to analyze data and generate accurate reports.
Strong analytical and problem-solving skills.
Ability to meet tight deadlines and juggle multiple projects
Excellent verbal and written communication skills, attention to detail, and organizational skills.
Basic understanding of GAAP inventory accounting concepts and rules is helpful.
Proficient with or have the ability to quickly learn computer applications necessary for the position including but not limited to inventory management software, Point of Sale systems, and Microsoft Office Suite.
Abilities:
Ability to go up and down stairs on a regular basis
Prolonged periods of sitting at a desk and working on a computer
Lifting up to 35 lbs unassisted
