SUMMARY DESCRIPTION:
The Assistant Medicaid Waiver Coordinator assumes responsibility for the daily operations of the Medicaid Waiver Team Leads, Case Managers, Initial Assessment Case Managers, and Personal Choices Counselors within the Medicaid Waiver program.
SUPERVISORY CONTROLS:
Receives general supervision from the Medicaid Waiver Coordinator. Supervisor sets the overall objectives and employee and supervisor, in consultation, develop the deadlines, projects, and work to be done; employee is responsible for planning and carrying out the assignment; and work is reviewed only from an overall standpoint.
RESPONSIBILITIES AND DUTIES:
1. Oversee Medicaid Waiver Team Leads, Case Managers, Initial Assessment Case Managers, and Personal Choices Counselors.
2. Evaluate performance of staff using performance standards, appropriate manuals, work samples, etc., to document/counsel employees on work performance.
3. Provide oversight of potential client on-site assessments in order to enroll them in the Medicaid Waiver Program and submission of completed forms to the appropriate state agency. Monitor the status of completed forms to fill Initial Assessment slots allocated by the Alabama Medicaid Agency.
4. Maintain and process all complaints and critical incidents logged into Statewide Complaint Database for Medicaid and ADSS review.
5. Review clients' Care Plans on a continual basis and implement changes to plans as required, fitting the needs of the client. Conduct monthly visits to clients' homes as needed to evaluate the services being provided by the Medicaid Waiver Program contractors to ensure the services are appropriate, adequate and of acceptable quality. Prepare case notes of visits and evaluations for documentation.
6. Review and process monthly billings input in Electronic Verification System for contractors for services rendered to clients in order to determine that the billing is accurate and the claims are in conformity with the clients' Care Plan(s).
7. Ensure that Medicaid Waiver staff conducts redetermination assessments on clients as outlined in Medicaid Waiver guidelines and completes appropriate forms in order to meet requirements prescribed by the Alabama Medicaid Agency.
8. Ensure all documents are entered into FamCare and place documentation as prescribed by the SARPC Area Agency on Aging and the Alabama Medicaid Agency in appropriate folders in order to maintain a case record for each approved client.
9. Compose, analyze, and maintain reports as necessary.
10. Attend meetings, conferences, and training as deemed appropriate by SARPC, ADSS, ASN,
and the Alabama Medicaid Agency.
11. Serve as backup to Medicaid Waiver Case Managers, Gateway Transition Coordinator,
Personal Choices Counselors, and Hospital 2 Home Transition Coordinator in the event
that there is a staff shortage.
12. Other duties as assigned
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
1. Knowledge of social work programs and processes preferred.
2. Knowledge of community resources and support network available to clientele served.
3. Excellent communication skills, both orally and written.
4. Excellent organizational and time management skills.
5. Ability to relate to the elderly and their unique problems.
6. Knowledge of basic supervisory techniques.
7. Knowledge and ability to operate office equipment including telephone, copy machine, fax
machine, computer, and calculator.
8. Knowledge and ability to do basic arithmetic. Experience with budgeting preferred.
9. Ability to read and interpret guidelines and regulations and apply them to the job.
10. Bachelor’s Degree from an accredited four-year college or university in Business Administration
or a related field with a minimum of two (2) years of supervisory experience and at least two (2)
years of case management or Medicaid Waiver related work experience.
11. Completion of ADSS Case Managers Training within 3 months of employment.
12. A valid driver’s license and a good driving record.
WORK CONDITIONS:
The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may
be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an
automobile, etc. Position requires some regional travel to client locations.
