The Program Support Assistant assists with the administration of the day-to-day operations of all Beendigen Programs and Program Manager. The Program Support Assistant carries out responsibilities in some or all of the following functional areas: day-to-day operations, IT technical support, and administrative duties.
Key Responsibilities & Duties
To work from a holistic perspective, utilizing the teachings of the medicine wheel and Seven Grandfather teachings.
To utilize Elders for teachings, healing and guidance.
To take personal responsibility to increase sensitivity, awareness and implementation of Beendigen’s cultural teachings and organizational practices in both professional conduct and work-related deliverables.
To provide a safe, nonjudgmental and empowering environment to victims of violence.
To be prepared to work in conjunction with the philosophy and mandate of the Organization.
To assist in the day-to-day operations of Beendigen Programs.
To maintain an inventory system and order all supplies for the office.
To perform basic cleaning duties at the Golf Links office.
Set up of meeting room for staff meeting and other meeting in organization.
Develop, prepare and maintain best practices, guides and manuals for Beendigen programs. To prepare and submit reports, as required, to the Program Manager.
Answering phone calls and emails
Shopping for supplies
To assist with organization database maintenance or training, as needed.
Processing financial documents
Maintaining records
Booking flights and accommodation
Coordinating team activities such as meetings and workshops
Conducting research
Creating training materials
Attention to detail
Performing data entry
Assisting in planning and executing program events, workshops, and meetings
To assist with Health and Safety compliance in the workplace by following policies, procedures and best practices and reporting any unsafe environments.
To constructively participate in staff and team meetings, seminars and training sessions as required, prepare and assist manager with set of packages for meeting and the meeting room.
Adhere to all policies and procedures and ensure adherence to program best practices.
To preserve confidentiality of all residents, clients, staff, students, volunteers and agency information.
Program Assistant is privy to client sensitive and agency confidential information, therefore discretion must be adhered to at all times.
To represent the organization in a positive and professional manner at all times.
Any other duties as requested by the Program Manager; commensurate with role.

Key Selection Criteria
Required:
Diploma/Degree in Business Administration.
Diploma in Administration with minimum two years’ experience in Business Administration may also be considered.
Preferred:
Experience working in an Indigenous organization.
Ability to speak Ojibway, Oji-Cree or Cree.
Education/experience in databases and office programs.
Knowledge, Skills and Abilities:
Demonstrated knowledge of effective development and maintenance of administrative documents, procedure documents and operating manuals.
Comprehensive understanding of databases, computers, various software and proficiency in Microsoft Office.
Strong problems solving and analytical thinking skills.
Excellent organizational, time, and general management skills.
Discretion/Confidentialtiy
Superior written, verbal and interpersonal communication skills.
Ability to work independently, demonstrating initiative, with limited supervision.
Working Conditions
Program Support Assistants usually work in an office environment, but the mission of the organization may sometimes take them to non-standard workplaces.
The Program Support Assistant works a 35-hour work week, Monday to Friday.
Additional Information
The Program Support Assistant is based at Beendigen Golf Links Location; however, all employees may be required to work across other sites from time to time.
This position directly reports to the Program Manager
Providing a successful Police Records Check (Vulnerable Sector).
Must be willing to work Flexible hours of work (35hrs/wk.) some events are in the evening and weekends.
Must have a valid Class “G” Driver’s license, use of an automobile and appropriate insurance coverage is required.
Must sign Oath of Confidentiality.
First Aid and CPR Certification.
